Description:

JOB DESCRIPTION:

  • Provides full spectrum of administrative and operational support to Sport and Exercise Medicine Service team, Clinical administrative support for Doctors and Clinical Exercise Physiologists (CEPs).
  • To manage communications with public/working partners/ patients/ caregivers through emails and phone calls
  • Assist in Operational Support and Coordination
  • Provide secretariat and minute-taking support for internal/external meetings
  • Regular update of workload statistics
  • Coordinate ad hoc collation request by Division and Institution
  • Provide guidance and advice to junior administrative staff for challenging issues on hand.
  • Support yearly budgeting preparation, including sourcing of quotation and procurement of equipment and IT items
  • Ensure accurate submissions of payment to vendors and staff claims
  • Work closely with Human Resource partner to support staff matters:
  • Attend in-service talks/lectures to maintain competency and for self-development.
  • Any other duties as assigned by Heads/ Leads/ Supervisors.

REQUIREMENTS:

  • Diploma in Office Skills with 6 years’ relevant experience, or GCE N/O/A Level, or NITEC in Office Skills with 12 years’ relevant experience, preferably 2 years working experience in healthcare
  • Proficiency in Microsoft Office applications and related software applications.
  • Ability to communicate effectively, both orally and in writing
  • Possesses records maintenance as well as organizing and coordinating skills
  • Strong word processing, receptionist and data entry skills
  • Has knowledge of supplies, equipment and/or services ordering and inventory control
  • Ability to deal amicably with all levels of staff and external customers
  • Ability to maintain confidentiality of records and information
  • Supervisory skills and Customer focus mindset
