POSITION SUMMARY: This important role will be the face of the Denver Office and be the first point of contact to provide superior customer service to both internal and external customers by responding to routine questions, providing general information, answer the main phone line, making appointments, managing conference room calendars, and performing general clerical duties.

Key Responsibilities:

  • Manages day-to-day operations of reception desk including but not limited to: greeting visitors warmly, managing and ordering supplies for the office, answering telephones, coordinating offices/conference rooms, ordering and/or pickup meals, processing mail, Fed-Ex, UPS and deliveries. Maintains company phone list.
  • Provides back-up to Front Desk in Loveland, as needed
  • Provide general concierge support to visitors and guests as needed
  • Notifies staff members when appointments arrive and escorts guests to appropriate room; help prepare room ahead of time for meetings
  • Coordinate with IT on new hires and conference room issues
  • Prepare for onboarding of new hires re day/week one scheduling with internal stakeholders, equipment, badges, The Know, supplies, provide tours and introductions
  • Create content and design of weekly newsletter (The Know) and new hire photos
  • Research and provide comps on private plane use for submission to Accounting
  • Ensures readiness of working environment including equipment copy/ printer equipment, postage meter, etc., ordering office supplies, ensuring kitchen/coffee/refreshments are stocked and monitors conference rooms availability
  • Provides general administrative support for cycled activities (e.g. invoice coding) and special projects; serves as back-up administrative support to operational teams (Accounting, People Services, IT) and provides administrative support to all teams as time permits
  • Order anniversary gift cards for employees, track and report taxes for Accounting, and process through Concur
  • Maintain Front Desk procedures manual, including addition of new procedures and updating existing procedures
  • Establish and maintain good communication and teamwork with fellow associates and other departments within the company
  • Communicate both verbally and in writing to provide clear direction to staff
  • Perform any other job related duties as assigned
  • 3+ years of experience providing front desk reception, general administrative clerical support in a fast-paced office environment
  • Demonstrated excellent customer service skills
  • Strong written and verbal communication skills
  • Strong teamwork mentality
  • Demonstrate the ability to multi-task be detail-oriented and be able to problem solve to effectively deal with internal and external customers
  • Must be able to convey information and ideas clearly
  • Must be able to evaluate and select among alternative courses of action quickly and accurately
  • Must be effective in handling problems in the workplace including anticipating preventing identifying and solving problems as necessary
  • Must be effective at listening to understanding and clarifying the issues raised by co-workers and guests.
  • Attentive, observant, and detail oriented
  • Intermediate Microsoft Office skills, including Outlook, Word, Teams and Excel
  • Accuracy, strong attention to detail, organization and time-management skills
  • Able to lift up to 25 pounds and use hand cart
  • High school diploma or equivalent required; associates degree or some college experience preferred
