The Senior Contracts Administrator will support the Commercial and Construction teams in overseeing all aspects of construction-related contracts, ensuring compliance with terms and conditions, effective cost control, and seamless communication with internal and external stakeholders. As a key role in the project delivery team, this role will be responsible for managing the entire contract lifecycle, from tendering subcontracts to project completion. This includes analysing contracts, negotiating variations, maintaining accurate records, proactively mitigating contractual risks, ensuring that project budgets and expenditures are effectively monitored and foster harmonious communication and collaboration between all stakeholders.

Operational Delivery

  • Contract Management
  • Prepare, review, and negotiate contracts, subcontracts, and variations to ensure compliance with project policies and legal requirements.
  • Manage contract documentation, including amendments, extensions, and terminations.
  • Monitor contract performance and ensure adherence to contract terms and conditions.
  • Coordinate with project teams to ensure timely delivery of contractual milestones and deliverables.
  • Cost Control Management
  • Assist in the preparation of project budgets and cost forecasts.
  • Monitor and control project budget and expenditure associated with contracts.
  • Generate regular cost reports and identify potential cost variances.
  • Proactively manage contract claims and variations to minimise financial risk.
  • Risk Management & Compliance
  • Identify, assess and manage contractual risks throughout the project lifecycle.
  • Develop and implement strategies to mitigate potential issues arising from active contracts.
  • Ensure procurement and contract management compliance with project policies, regulations and legal requirements.
  • Maintain accurate records of contract activities and correspondence.
  • Prepare reports on contract status, performance issues for management review.
  • Communication and Collaboration
  • Provide expert advice and guidance on contractual requirements, obligations and matters to project stakeholders (e.g., Project Managers, Engineers, etc.).
  • Liaise with clients, subcontractors, suppliers, and other stakeholders regarding contract administration matters.
  • Foster positive relationships with all parties to facilitate effective contract execution and management.
  • Lead meetings with stakeholders to discuss contract-related issues and resolve disputes through effective negotiation and mediation.
  • Maintain clear and concise communication regarding contractual matters, ensuring timely updates for all stakeholders.
  • People Management
  • Provide guidance, training and support as needed to direct and indirect reports.
  • Foster a collaborative and productive environment, encouraging team members to reach their full potential.
  • Conduct performance reviews and provide feedback to team members to ensure high standards of work quality and professional development.

Required Skills and Competencies

  • Tertiary qualification in commerce, engineering, law or relevant discipline (Essential)
  • Work Safely in Construction (White Card) (Essential)
  • 8+ years’ of experience in contracts administration (Essential) or other relevant field e.g. Engineering, Quantity Surveying, etc.
  • Demonstrated experience effectively managing claims and disputes (Essential)
  • Experience on major construction projects (Desirable)
  • Strong verbal and written communication skills
  • Strong Microsoft Office Suite skills
  • Detailed knowledge of the Security of Payments Act (SOPA) and other relevant State and Federal laws and regulations.
  • Excellent attention to detail and problem-solving skills
  • Strong dispute resolution and people management skills
