Position Summary
The Executive Assistant is responsible for performing a set of diverse complex executive duties for the Regional General Counsel Europe, Middle East, and Africa (RGC EMEA) and other key staff members of the Legal & Risk Oversight (LRO) team. This position requires high-level internal and external contacts and communication, and exposure to sensitive information, requiring considerable use of tact, diplomacy, initiative, planning skill, anticipation, discretion and judgment. In this position, the candidate must possess business acumen, be able to connect a wide variety of worldwide activities into a cohesive picture and set of actions and execute in a timely and appropriate fashion.
Principal Responsibilities

The Executive Assistant performs a wide variety of administrative and project-related duties for the RGC EMEA and his or her key staff including for example: managing information, handling incoming and outgoing correspondence, expense reporting, statistical reports and analysis, and presentations. The EA ensures that the LRO office operates in an efficient manner by supporting calendar management, travel arrangements, and other administrative and project related duties.

  • Ability to communicate instructions and information effectively at all levels including executives (internal and external), administrative, and line management personnel to gather and/or convey information pertaining to RGC requests.
  • Serves as a liaison between the RGC EMEA and US-based CLO, and other executive leaders (and LRO leaders) as requested. Follows up to ensure timely response to projects and assignments. Monitors administrative assignments within the organization to set priorities for meeting deadlines to balance the workload of solicitors, paralegals, and administrative staff.
  • Screen information on incoming documents which may require RGC attention.
  • Perform special assignments that require the successful candidate to exercise independent judgment.
  • Coordinates meetings, logistics and travel arrangements, primarily international (flights, hotels, car, etc) for RGC and LRO team.
  • Responsible for assisting with and preparing various statistical, operating and administrative reports.
  • Assists in the coordination, organization, and planning of meetings/functions/seminars with internal and external stakeholders. Responsible for the coordination of all travel logistics i.e. itineraries, appointments, locations, transportation, etc. Because of the nature of ADI’s business, a comfort level guiding activities with a diverse group of people on a global basis is needed.
  • Understands all internal administrative processes (e.g. office supply procurement), and assists LRO team accordingly.
  • Assist with new team member onboarding to Limerick site, or other ADI sites in EMEA if needed.
  • Maintains share point and OneDrive sites, organizational charts, and other reporting systems as required.
  • Other duties/projects as assigned.

Typical Education/Experience

  • College degree preferred and a minimum of 5 years of support experience at the executive level, or equivalent combination of education and experience in a public company (preferably multi-national, with experience navigating global operations)
  • Excellent communication skills (verbal and written, with an emphasis on grammatical skills)
  • Highly proficient with the MS Office suite - including PowerPoint, OneNote, Outlook and Excel. Knowledgeable with computers, printers, copiers, fax machines, and telephone systems
  • Willing and eager to learn new systems and processes
  • Excellent organizational and time management skills
  • Experience interfacing with other countries outside of Ireland
