REQUIREMENTS

  • Minimum Diploma qualification
  • Demonstrate extensive experience as Executive Assistant to Senior C-suite level or equivalent Executives
  • Sound experience in global professional services and/or complex MNC organisations
  • Strong attention to detail, ability to work independently and autonomously
  • Strong project management skills.
  • Strong interpersonal skills and ability to work effectively with a diverse group of stakeholders
  • Comfortable with ambiguity & change
  • Confident, professional; discreet and able to maintain confidentiality at all times
  • Exceptional written and verbal communication skills
  • Proficient with the use of Microsoft Office tools and fast learner and adapt to new technologies
  • Ability to work in a fast-paced environment
  • Proactive, anticipate needs and take initiative
  • Strong analytical and problem-solving skills to tackle issues promptly and efficiently.

This role will report to Asia Pacific Strategic Risk & Transactions leader to provide full 1:1 Executive level administrative and project management support, and it presents excellent opportunities for challenging work, professional development and career progression in the AP region.

RESPONSIBILITIES

  • Efficiently manage the Leader’s calendar, ensure complex calendar is up-to-date at all times.
  • Support communication correspondence, including emails, prioritize and respond appropriately.
  • Admin and logistics support for Leader’s regular and ad hoc meetings, video conference calls
  • Organize and coordinate complex travel arrangements, including flights, hotel reservations, transportations and visa arrangements.
  • Schedule and arrange virtual and physical leadership meetings with the leadership team across AP region. Ensure to accommodate leadership team’s schedules, confirm and take attendance.
  • Schedule client meetings and project calls.
  • Assist with scheduling for leader’s committee and board meetings.
  • Prepare agenda, and support follow-up on action items.
  • Manage various business projects, ensuring timely completion and alignment with businesses’ goals.
  • Work closely with Leader and core team and build a culture of continuous improvement.
  • Support communications for AP SR&T, including newsletter, viva engage, region wide announcements, town halls.
  • Distribute regular internal communications on behalf of leader.
  • Support the organisation of events including: invitations & responses coordination, location sourcing within set budget, catering coordination & run sheet
  • Logistics support for any visiting VIP including hotel arrangement; transportation; and agenda planning
  • Produce, draft and amend documents & respond to correspondence on behalf of leader
  • Prepare accurate claims and reimbursements for business expenses and business trips
  • Manage timesheet reporting
  • Other ad hoc administration, secretarial or logistics activities as requested
