Description:
OVERVIEW:
The Executive Assistant will be responsible for providing operational and administrative support to the Emergency Department’s Nursing & Operations team. He / She will coordinate with both internal and external stakeholders to facilitate the smooth running of the team and to meet staff needs in accordance with prevailing guidelines and policies.
JOB REQUIREMENTS:
- Diploma qualifications in any discipline.
- Analytical, quantitative and good communication skills (written & spoken)

Responsibilities:
PRIMARY DUTIES AND RESPONSIBILITIES:
- Nursing Training Support
- Process and coordinate nursing training scheduling, rostering, logistics and administration.
- Update and remind nominated staff on training arrangements.
- Record keeping of all relevant training documentation.
- Nursing Administration Support:
- Facilitate on/off-boarding of nursing staff.
- Manage nursing staff records and personal folders.
- Submit requests for system access, purchasing and other administrative matters as needed.
- Patient Safety Support:
- Follow-up with relevant supervisors for completion of incident reporting.
- Extract and analyse incident data monthly.
- Facilitate validation of report findings and perform final collation for reporting.
- Operations Support:
- Support the department logistically in emergency preparedness.
- Management and upkeep department hardcopy forms.
SECONDARY DUTIES AND RESPONSIBILITIES:
- Managing office stationery inventory and orders.
- Oversee collection and disposal of items in confidential bins.
- Perform any other duties as assigned by reporting officer.
