Responsibilities:

  • Organize and manage the overall office.
  • Maintaining the relationship with all office suppliers.
  • Collaborate with Finance, Purchasing and Accounting teams to ensure invoices are paid in a timely manner with appropriate supporting documentation. Verify vendors are in the system for payment and manage facilities budget.
  • Act as liaison for building maintenance and repairs, maintain relationship with property manager, building engineering, security, janitorial staff and with 3rd party vendors, including: HVAC, plants, furniture, beverage and snack, moving, office supplies, architect, contractor and graphics vendors as necessary.
  • Local lead on project management for space planning, including build-outs and solutions for short-term space, equipment, and service needs.
  • Greet and direct visitors, including vendors, clients, job candidates, guests and visiting employees.
  • Oversee and administer employee badges including parking and building keycards.
  • Order, manage, and maintain office supplies.
  • Communicate office updates and general information
  • Ensuring that the cleaning crew is fulfilling the tasks and guidelines imposed by the management team to provide a safe work environment
  • Coordinating the mailing service, receiving daily mail and package deliveries and distribution.
  • Ensuring a safe, clean and organized office
  • Manage facilities reporting system; identify and implement systems and processes to gain efficiencies in work procedures.
  • Perform various administrative duties such as:
  • Provide admin assistance to leadership team as needed.
  • Input and submit expense reports.
  • Calendar and meeting management.
  • Arrange travel.
  • Meeting arrangements, organize catering for business meetings , and other miscellaneous tasks
  • Prepare and submit Contract Approval Requests; monitor to completion.
  • Manage reception desk: meet and greet visitors, answer phones
  • Provide HR support including:
  • New hire set up and assisting with onboarding
  • Coordinating and planning office and recruiting events
  • Be a friendly catch-all and resource for employee concerns, questions and requests.
  • Performs other duties as assigned
