JOB SUMMARY

The Senior Production Coordinator plays a vital role in supporting the production team and ensuring the smooth and efficient execution of our projects.
This individual will maintain production schedules, support project managers with project allocations and resources, manage inventory levels, maintain reports and charts to assist the project management team in decision-making, manage and maintain the division’s documents, and facilitate communication between various departments to meet production goals.
The Senior Production Coordinator will be an integral part of the production team, contributing to our project management process’s overall efficiency and effectiveness.

KNOWLEDGE AND CRITICAL SKILLS/EXPERTISE:

  • Basic knowledge of roofing materials, equipment and processes.
  • Proven experience in project coordination, including resource allocations, procurement, logistics and scheduling.
  • Knowledge of safety regulations and compliance requirements related to roofing operations, including OHSA standards and industry-specified safety protocols, is essential for maintaining a safe work environment and minimizing risks.
  • Ability to effectively organize and prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
  • Strong time management skills to effectively prioritize tasks.
  • Excellent verbal and written communication skills used to facilitate collaboration among production and sales teams; communicate requirements and updates, and interact with clients and colleagues.
  • Aptitude for identifying issues, analyzing root causes, and developing practical solutions. Strong problem-solving skills enable Production Coordinators to address challenges that arise during project execution and make timely reports or suggestions to keep projects on track.
  • Customer-centric approach with a commitment to delivering exceptional service by maintaining open communication and addressing customer concerns promptly and professionally.
  • Ability to work effectively as a team and collaborate with diverse stakeholders, including project managers, field crews, suppliers, and subcontractors. Being a team player fosters a cooperative work environment and promotes project success.

Responsibilities:

  • Work closely with production managers to coordinate all aspects of roofing projects, from initial planning to completion. Ensure that project objectives are clearly defined and timelines are established and adhered to.
  • Coordinate allocating resources, including labour, materials, and equipment, to ensure that projects are adequately staffed and equipped to meet deadlines and quality standards.
  • Develop and maintain project schedules, identifying critical milestones and dependencies to assist production managers with target tracking.
  • Maintain accurate records of project-related activities.
  • Generate reports on project progress, resource utilization, and budget expenditures for review by management.
  • Assist in preparing documentation for project startup or closeout, including warranties, as-built drawings, and final inspections.
  • Assist production managers in tracking project costs and expenses and monitoring budgetary performance against targets.
  • Identify cost-saving opportunities and recommend adjustments as needed to optimize project profitability.
  • Serve as point of contact between production managers, field crews, and subcontractors.
  • Facilitate regular communication meetings to review project status, address issues, and ensure alignment on project goals.
  • Respond to inquiries from internal stakeholders regarding project logistics and scheduling.
  • Assist production managers in implementing quality control measures to ensure company and manufacturer compliance.
  • Assist production managers in implementing safety control measures to ensure company and OHSA compliance.
  • Assist the production managers with vendor relationship management, including timely deliveries and resolving procurement issues.
