Description:

(SENIOR) PUBLISHING ASSISTANT

We are seeking a Publishing Assistant to support the Eastern Europe Extended Journals team.
The portfolio includes 35 Consultants Bureau hybrid and subscription journals, 4 fully Open Access journals, and 181 hybrid journals distributed in cooperation with Pleiades Publishing. Besides, the Publishing Assistant will also contribute to the Conference Acquisition Team program to publish applied science content in journals and books.
This is a temporary position available for six months.
The Publishing Assistant is a wide-ranging role, which is essential to the smooth running of the portfolio. The Publishing Assistant will work across the team, responding to queries where needed, maintaining internal systems and processes, helping to support Publishers. They will also occasionally provide more general administrative support to the wider Publishing team.
This is the perfect role for someone interested in starting a career in academic publishing and having an overview of the different roles and tasks.

SKILLS, EXPERIENCE AND QUALIFICATIONS:

Essential

  • Educated to degree level or equivalent experience
  • Excellent communication skills in English, both written and oral
  • Willingness to learn and ability to grasp things quickly
  • Strong organizational skills, with attention to detail, able to prioritize numerous tasks
  • Ability to work well in a team, demonstrating strong collaboration and interpersonal skills
  • Be resourceful and proactive in dealing with problems and queries
  • Computer literate – understands common software (e.g. Microsoft Office suite) and gains new software skills quickly
  • Good analytical skills

Desirable

  • Previous experience in scientific publishing
  • Knowledge of Russian language is a plus

Responsibilities:

Journals and Team Administrative Support

  • Provide administrative support for publishing staff, including circulating contracts, distributing reports, coordinating arrangements for conferences and meetings, minute taking, data management.
  • Ensure journal websites and other information sources are kept up-to-date. Assist Publishing with set up of article collections.
  • Process payment orders when needed. Keep track of the payment status for 35 journals, including royalties, editorial and production payments to societies and freelancers.
  • Handle of general enquiries from within Springer Nature and outside partners (authors, editors, EB members, societies, journal offices, librarians, etc.).

Assist in Journal Development and Conference Acquisition Activities

  • Pull data from internal reporting and external databases and visualise data in order to use in journal development activities. Provide support on preparing presentations.
  • Collaborate with the conference acquisition team to identify conference organizers for publishing conference proceedings as books and journals in the field of computer science.
  • Enter data accurately and efficiently into internal workflow/production systems to maintain organized and up-to-date records.
  • Perform other duties as necessary within the wider publishing team.
