Our Family Centers are located in Artarmon, Brookvale, Waitara and on the Central Coast at Tuggerah. Through our family centers we provide child and family support, Counselling, Domestic and family violence support and more.

Responsibilities:

ABOUT THE ROLE:

CatholicCare Diocese of Broken Bay has an exciting opportunity for an experienced, passionate and driven Reception and Operations (Office) Administrator to support our growing team in our Artarmon Family Centre.
This position provides high level, quality administrative and customer service support to our Integrated Services team and clients, contributing to the efficient and effective operation of our office. This is a full-time, permanent opportunity working Monday to Friday, office hours: 9:30 to 16:30.

KEY RESPONSIBILITIES:

  • Act as a first point of contact for clients seeking assistance with a range of challenges including Domestic Violence, Homelessness, Family Support and Therapy services.
  • Responding to calls with an empathetic and non-judgmental communication style to our clients, who present with a broad range of challenges and issues, face to face and over the phone.
  • Manage the front reception desk, taking inbound calls and re-directing them to the appropriate staff members. Making outbound calls to clients and support workers.
  • Ensure compliance with incident management, reporting and escalation requirements and that organisational obligations under mandatory reporting, child protection, safeguarding and WHS are met.
  • Manage Expense, Banking, Asset Management and Petty Cash process, keeping accurate records and following procedures.
  • Ensure databases are maintained and liaise with the internal IT department for any set up, connection or support required by office staff.
  • Maintain a clean & tidy office environment, ensuring availability of supplies, stationery and amenities.
  • Organise catering, room bookings and other items relevant to any events, training or meetings as needed.
  • Any other ad hoc task as required from time to time to support the service.

TO BE SUCCESSFUL IN THIS ROLE, YOU WILL HAVE:

  • Extensive prior experience in an Administration, Receptionist or Customer Service roles within Community Services (preferred by not essential).
  • Relevant TAFE or tertiary qualifications.
  • A strong, confident communication style and an ability to present professionally in response to diverse range of stakeholders – face to face, via email and phone.
  • Experience with dealing with people who may be highly distressed.
  • Excellent computer literacy (Microsoft Office – Outlook, Word and PowerPoint).
  • Exceptional verbal and written communication skills.
  • Demonstrated professional approach to deal with confidential/sensitive matters.
  • Knowledge of the community sector, social welfare and/or child protection legislation desirable.
  • National Criminal History Check.
  • Working with Children’s Check.
  • Current NSW Driver’s License and access to an insured vehicle.
