Role purpose
Reporting to the National Tenancy Project Manager the key purpose of the Senior Tenancy Delivery
Manager is to ensure consistent processes are followed for the tenancy delivery function and positive
delivery outcomes are achieved for their allocated Centres or Project. This role will be responsible for monitoring the status of each tenancy deliverable and the coordination of retail tenancy fit outs on Development Projects. The role will have direct TDM reports who will be allocated to the project to manage the scoping, pricing, tendering and procurement of work generated by the leasing/development process. The role assumes responsibility to deliver tenancies to the Tenant in accordance with all lease obligations agreed in the lease and in line with the timeframes agreed for rent commencement.
Please note - this role is an initial 18 month contract, to support the delivery of the Chatswood Chase Development Project’s Tenancy Fit Out schedule.

Key Responsibilities

  • Maintain Vicinity governance / process and procedures for Leasing Design & Delivery
  • Build strong relationships with external stakeholders to award and manage work
  • Deliver reconfiguration projects in accordance with cost and programme targets
  • Own key accounts and client liaison on a portfolio level
  • Chairing and driving regular status meetings
  • Establish and monitor health & safety and environmental responsibilities to ensure compliance with
  • legislation, corporate procedures, and company objectives
  • Scheduling and coordination ability to assist in resolving potential discrepancies between the multiple
  • technical disciplines.
  • Design and technical plan review of architectural, mechanical, electrical, plumbing and vertical
  • transportation drawings. Interface with suppliers and architects to review, comment and approve
  • construction drawings ensuring owners responsibilities. Ensure compliance where owners work
  • requires interface with tenant lease requirements. Collaborate with tenants when owners work affects
  • existing tenants.
  • Efficiently track and/or manage the scheduling of all leasing driven project planning and permit
  • submissions to all applicable local jurisdictional agencies.
  • Attend recurring action/asset meetings to ensure awareness of all aspects of the shopping centre,
  • especially on issues that pertain to leasing funded capital works.
  • Visit the shopping centres on a regular basis to monitor progress of Leasing Capital work & tenant fit
  • outs and promote methods to expedite the shop delivery process wherever possible.
  • Supervise the schedule of works to ensure contractors & shopfitters complete their work on or before
  • the agreed contract schedule. Conduct site inspections and meetings with architects, contractors and
  • building inspectors, where necessary.
  • Perform detailed inspections throughout the fitout of each shop and promptly coordinate with the
  • Retail Design Manager to issue a final defect list to the shopfitter upon the completion of each store.
  • Ensure compliance of all close-out documentation in accordance with contract terms.
  • Consistently maintain professional and appropriate demeanour when interacting with business
  • partners and customers.
  • Proactively consult, engage, and listen to all team members and make sound decisions in a transparent
  • manner

Key Role Relationships

  • The Senior Tenancy Delivery Manager will collaborate with Senior Retail Design Managers and their
  • direct reports to ensure that new and renewing tenancy fit outs meet both Vicinity design standards
  • and industry standards to enhance the centres reputation, contributing to the ambience and physical
  • environment of Vicinity owned and / or managed centres as significant shopping destinations.
  • Collaborate with regional and local leasing managers to clarify scope and costs for landlord works
  • required to reconfigure tenant spaces to suit the requirements of new leasing deals.
  • Collaborate with Leasing Managers on budget preparations, identify applicable work scopes, produce
  • requests to consultants and contractors for proposals to obtain cost estimates and bids.
  • Collaborate with Centre Operations Managers and other related Centre Team Members on
  • coordination matters relating to the delivery of shops to tenants and throughout the tenancy fitout
  • periods to ensure tenants open on time and comply with all lease obligations.

Capability and Experience

  • Preferred Qualification: You have a degree in Construction Management and/or equivalent experience
  • Technical Knowledge: You have strong, demonstrated knowledge of Mechanical, Electrical & Fire Life Safety building infrastructure systems as well as a sound understanding of architectural & structural
  • building components.
  • Communication Skills: You have excellent verbal, written, visual, and negotiating communication skills and aptitude with both internal and external entities
  • Presentation Skills: Ability to present cost plans, scheduling & tracking to set targets and objectives.
  • Administration Skills: Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint), Bluebeam/Adobe Acrobat, Project Scheduling Applications & Project Budgeting Software
  • Organizational Skills: Organized, goal oriented, ability to develop and maintain effective relationships and works well in small and large groups
