Description:

This role requires an individual to join the Intellectual Disability & Developmental Service (IDD) Single Point of Access (SPA) team working on a part time basis. We are seeking an individual with excellent organisational skills with the ability to work without direct supervision, prioritising all incoming referrals and acting on own initiative, where required; pre-empting issues and working to solve them in an appropriate manner. In addition, capability of providing a good typing, secretarial and customer service, applying effective written and verbal communication systems and also working as part of a team
Responsible for all aspects of secretarial and administrative support provided to the IDD Single Point of Access Team. To respect and maintain confidentiality and possess a flexible working approach
To provide a high quality efficient secretarial and administrative support to the SPA team.
To be responsible for processing all incoming referrals to the SPA. To use communication skills effectively
To register referrals and, where appropriate, signpost to other services and agencies with the guidance of the clinical team and line manager.
To be responsible for data input in electronic records to support the regular flow of information between SPA, clinical teams and other partner agencies/departments as required.
To ensure that electronic systems are kept up to date at all times by entering and amending patient details onto the computer database as required to allow audit and review information and relevant reports to be produced as required.
To contribute to the provision of administration services to the IDD team ensuring that the work load is prioritised.
Attend the daily referral meeting and update the SPA workbook in a timely manner. To provide an efficient typing service in producing letters.

To be responsible for processing all incoming referrals to the SPA, dealing with queries, taking detailed messages and responding or referring them to the relevant member of the multi disciplinary team in a timely manner as defined in the agreed referral management protocols.
To use communication skills effectively to enable referrers to explain needs and the assistance required.
To register referrals and, where appropriate, signpost other services and agencies. To seek advice and guidance of the line manager/duty clinician if appropriate services are not available.
To ensure that all referral documentation contains appropriate and relevant information to assist the clinicians.
To be responsible for data input in electronic clinical records to support the regular flow of information between SPA, clinical teams and other partner agencies/departments as required.
To ensure that electronic systems are kept up to date at all times by entering and amending patient details onto the computer database as required to allow audit and review information and relevant reports to be produced as required.
To ensure that communications with other health care professionals are managed in accordance with local and Trust Policy.
To cover in the absence of other admin colleagues
Ensure patient referrals are processed and recorded on the RIO database and that documents are appropriately uploaded on to the clinical record.
To provide an efficient typing service of correspondence.
