QUALIFICATIONS AND SKILLS

  • 2-4 years of progressive office experience as a senior-level administrative professional
  • Demonstrated ability to write and prepare documents/reports/correspondence in a concise, logical, grammatically appropriate format
  • Strong Microsoft Office Word and PowerPoint skills
  • Results-oriented; demonstrated experience in the successful execution of projects
  • Demonstrated ability to handle sensitive information with discretion and tact
  • Poised oral and written communicator
  • Outstanding interpersonal skills

Responsibilities:

Leader support

  • Support the Vice President of Policy and Partnerships and the Vice President of Training in administrative, coordination and communication needs required to support the execution of strategies (i.e. monthly team meetings & team retreats, sourcing agenda items) and alignment with national partners (i.e. scheduling meetings and coordinating logistics necessary for meeting results to be met).
  • Complete a broad variety of administrative tasks that facilitate both Vice Presidents ability to effectively lead the team, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
  • Work closely with both VPs to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a “barometer,” having a sense for the issues taking place in the environment and keeping the vice president updated
  • Meet and coordinate with administrative team on a regular basis to maintain alignment
  • Track, code and submit expenses incurred by both Vice Presidents
  • Facilitate timely correspondence and communication for both Vice Presidents

Team support

  • Offer project and administrative support to the Policy and Partnerships and Training teams, aiding in the successful completion of initiatives and tasks
  • Prepare, format, and edit a range of documents including reports, presentations, and materials. Maintain organized filing systems for easy access and retrieval of documents for each team.
  • Manage special projects for both teams, Policy and Partnerships and Training
  • Perform data entry and manage databases to ensure accurate and current information. Assist with generating reports and providing data analysis as required.
  • Plan and execute logistics for each teams internal meetings. Take notes during meetings, distribute summaries, and track action items to ensure follow-through.
  • Support construction and finalizing of contracts sought to advance each team’s strategies.
  • Oversee the ordering and stocking supplies for Training Hub offerings, ensuring resources are available as needed.

Note: This role is intended to support Vice Presidents across the functional area. As a member of the administrative team, you may be asked to support other leadership as business needs change.
