The Special Events Associate supports the events team in all aspects in the planning and execution of events. These include signature fundraising events, donor cultivation events as well as the Catholic Renewal programing.
QUALIFICATIONS:
- Bachelor ‘s Degree
- Strong knowledge of Excel and MS Office required; working knowledge of The Raiser’s Edge software and SalesForce is a plus.
- Excellent organizational skills and attention to detail.
- Excellent written and verbal communications skills.
- Ability to juggle multiple projects and tight deadlines.
- Able to work independently.
- Knowledge of protocol and etiquette standards.
- Team player.
- Professional manner and strong interpersonal skills.
- Entrepreneurial and ability to take initiative.
- Flexible and comfortable in a fast-paced environment.
- Must be able to work events that will require early mornings, late nights and weekends.

Remain in a stationary position at a workstation and use a computer.
Ambulate and/or remain in a stationary position at seminars, events, fundraisers, etc.
Travel for outreach, events, and meetings at least 60% of the time using a vehicle or public transportation, traverse city streets, ascend/descend stairs, and be exposed to outside weather conditions.
Move and transport documents, objects, and other event materials.
Work under demanding conditions such as deadlines and project challenges
Responsibilities:
- Provide administrative support pre- and post event, including financial report updates, expense reports, invoice processing, check requests, archiving event materials and correspondence, event storage and inventory, shipping, and pledge follow up.
- Manage special events email inbox, voice mail and update guest lists.
- Update and track event revenue and expenses.
- Deal directly with donors to confirm donor information, guest list, seating, pledge payments, etc.
- Must be comfortable dealing with high-net-worth donors.
- Liaise with vendors and order event equipment and materials.
- Manage volunteers, staff teams and vendors at events.
- Drafts correspondence and coordinates mailings.
- Prepare and assemble printed materials for events. i.e. invitations, programs, signage, nametags, seating documents.
- Assist as needed with all pre and post event logistics.
