EXPERIENCE AND QUALIFICATIONS:

  • University Degree/Diploma in Business with a concentration in Finance, Marketing, Economics, or Bachelor of Applied Arts in paralegal studies, or relevant studies in procurement and operations.
  • Airline industry or travel trade experience with knowledge of incentive contracts an asset.
  • Knowledge of contract processes, internal control policies and sensitivity to confidential issues.
  • Proficiency in Microsoft Office suite of applications; including Word, Outlook, Excel, and PowerPoint.
  • Excellent time management and organization skills with the ability to manage competing priorities and attention to detail.
  • A proven commitment to meet deadlines in a fast paced, high-pressure environment where accuracy is critical.

Responsibilities:

OVERVIEW OF THE ROLE:

The Specialist – Contracts & Operations is responsible for every phase of the sales incentive contract management, from reviewing the cost of sales, drafting, and executing the contracts, to implementing the incentive commercial terms. The Specialist ensures that the terms of contractual agreements are written in language that is legally binding and in compliance with company policies and applicable regulations. Upon contract execution, the Specialist implements the incentive components into various systems, audits and analyze the results to ensure they align with the contract terms and conditions. Throughout contract renewals and Sales initiatives that impact incentive agreements, the Specialist collaborates with the Field Sales, Sales Development, Distribution, Pricing, Finance & Procurement, WestJet Vacations, and Legal Services.
The position will work collaboratively with multiple stakeholders in the Sales Development, Distribution, WestJet Vacations, and the broader Sales organization to support the sales incentive contracting process from draft to execution, assist in collecting, documenting, and processing of information required to successfully implement agreements, and implementation of incentive components thru various internal and external systems.

KEY DELIVERABLES / RESPONSIBILITIES INCLUDE:

  • Review the approved cost of sales for accuracy and completeness, to ensure the overall cost is within budget, and the requested incentive contract attributes have been captured.
  • Draft sales incentive agreements, including amendments, extensions, LOA, and Non-Disclosure agreements (specific to Sales). Review and create contract languages that include legal, data security, privacy, finance, and trademark. Analyzes and approves or rejects requests for deviations from contract specifications, company policies and regulations. Ensures legal and audit compliance while mitigating risks on behalf of WestJet.
  • Facilitate the contracting redlining process pursuant to the guiding principles, and through liaising with various internal key stakeholders in the organization. Create and maintain contract templates with updated languages to align with changes to business and regulations.
  • Maintain contract management and sales tools: initiate approval and load executed contracts in Coupa; update contract terms & dates, incentive rates by region (overrides, base commissions, discounts), fixed fares and other compensations in various systems.
  • Develop, maintain, and deliver to the VP(s), directors, and managers the weekly contracts status and schedule report that highlights contracts that are overdue and require immediate attention. The report creates efficiency and accountability that ultimately contributes to reducing the contract life cycle and improving SLAs. The team manages over 400 revenue-generating contracts each year, which requires thorough planning and team collaboration.
