Description:

Staffing Coordinator Responsibilities:

  • Phone screen after application notification received from HR
  • Scheduling applicant for interview with Direct Support Managers (DSM)
  • Coordination and scheduling with DSM the interview of the applicant with Individual Served/Family
  • Participating in group interviews scheduled by the Human Resource Department
  • Coordination with HR for completion of onboarding documents and process including Employment Data Form, scheduling of applicant drug testing, orientation, etc.
  • Supervise assigned pool DSP employees.
  • Assists in monitoring completion of required training and certifications by DSPs.
  • Monitors assigned pool employees to ensure that they have worked at least one 8-hour shift every 30 days.
  • Coordinates and schedules with DSM when pool employee assigned to a new Individual served to ensure that DSM provides all required training specific to the Individual receiving services prior to pool employee working with Individual.
  • Completes 90 day and annual performance reviews for pool DSPs with input from the Director of Community Wavier Services and the Direct Support Managers, as applicable, including preparation and submission of PAF.
  • Assists in the development and dissemination of important information to all CES waiver staff, Individuals served and families, as applicable. This includes but is not limited to:New policies and proceduresHealth and Safety MeasuresTraining eventsMeetings

Administrative Assistant II Responsibilities:

  • Ensure that the office and surrounding workspaces are maintained in a professional, safe, and organized manner.
  • Assists in the development and implementation of systems and procedures to ensure the program operates in an organized and efficient manner.
  • Accurately compose and prepare letters, financial forms, and reports within designated time.
  • Ensures that the department database and other informational tracking systems remain current and accurate.
  • Order approved departmental supplies and equipment to include, but not limited to, office supplies and program supplies.
  • Updates the Director of any program related matters; procedural changes needed and assists with the development of a plan of action.
  • Answers the department main number, ascertains nature of business, and directs visitors/callers to appropriate staff member or department.
  • Receive and route all emails to the appropriate staff.
  • Take detailed minutes of various department meetings.
  • Assists in performing daily operating functions (i.e., copying, filing, processing data input, etc.)
  • Assists department nurse in tracking submission of medication logs, filing as appropriate and requesting from DSPs.

QUALIFICATIONS:

Education and/or Experience:
High School Diploma/GED and 3-5 years’ experience in providing administrative services in a program that supports individuals with an Intellectual Developmental Disability, or other Social Services or Health Related program. A bachelor’s degree in social services or another Health Related Field preferred.
