JOB SUMMARY

As an Associate Project Administrator for Summer 2024 for our Operations Enablement Team based out of the Senneville site, you will collaborate with the Global Safety Assessment Team by assisting the Project Manager in executing various project advancements for Global Quality Risk Management (QRM) initiatives and during the development of Operations Agile Quality Systems Technical Sprints. This position is responsible for assisting in the coordination of project activities, maintenance and updating of the project schedule, managing assignments, monitoring progress, and communicating to the project team often consisting of scientists from various specialties. The Associate Project Administrator Intern will assist with preparing action plans that address critical business problems. This position works closely with the project manager and the project team and is 100% remote within Canada.

In this role, responsibilities may include:

  • Assisting with project planning, from start to finish
  • Assisting the project manager with administrative duties and processes
  • Creating project and process workflows
  • Breaking down projects into doable tasks and ensuring tasks are followed to completion
  • Reporting on team and project performance
  • Alerting the project manager to issues as they arise
  • Preparing and distributing project documents and training materials
  • Obtaining and performing data analytics across multiple data sources
  • Assessing project risks and monitoring progress
  • Calculating project metrics, such as quality, cost savings, health, etc.
  • Communicating and working closely with teams, including roles within a Scrum team and/or Project team
  • Acting as an additional point of contact for the project team and facilitating communications
  • Collaborating on project team presentations
  • Fostering positive relationships with project team members
  • Creation and maintenance of project management tools, reports, and SharePoint sites
  • In conjunction with users and managers, defining requirements/user stories, documenting specifications, implementing and supporting operational information systems
  • Scheduling meetings and keeping minutes
  • Assisting in organizational change management and implementation of policies and procedures across multiples sites
  • Assisting with performance of project effectiveness checks
