SKILLS/COMPETENCIES:

  • Skills in Microsoft Outlook, Excel, PowerPoint, and Word required. Skills in One Note, SharePoint, MS Teams and other products, a plus.

    EDUCATION and/or EXPERIENCE:
    At least two years of relevant administrative and/or teaching/training experience.
    High school diploma or equivalent.

Responsibilities:

  • General TDEV Support
  • Respond to general TDev questions and requests in a timely manner.
  • Collaborate with TDev Team, partners, and stakeholders to deliver on projects to meet department and organizational strategic and operational priorities.
  • Coordinate and support TDev Team learning events including both in-person and virtual events (Including coordinate set-up arrangements; coordinate virtual session production; prepare and assist with materials; create and manage rosters, track completions and evaluations, and assist with clean up as needed.)
  • Facilitate/present online and in-person instructor-led courses, as needed.
  • Coordinate activities for mandatory compliance training including creating courses, tracking completion, reporting results, etc.
  • Learning Management System (Workday) Administration
  • Assist the TDev team in configuring, testing, maintaining, and updating learning objects, assignments, records, and resources in the company’s Learning Management System (LMS) Workday.
  • Create and manage Workday courses, programs, campaigns, reports and dashboards.
  • Answer learner and leadership questions and help troubleshoot LMS issues.
  • Create and run regular reports on attendance, enrollment, usage, and other relevant TDev metrics.
  • New Employee Orientation/Onboarding
  • Ensure new employees and contract/contingent workers are set-up in Workday correctly for a great onboarding experience.
  • Become primary facilitator/presenter to conduct appropriate sections of onboarding experience, including first week welcome, building tours, onsite and virtual training sessions, and other onboarding activities and events.
  • Provide administrative support to other onboarding facilitator(s), including ensuring all participates have joined, troubleshoot log-in or other issues, provide follow-up documents, ensure learning completed in time to meet compliance requirements, provide support to new hires, etc.
  • Engagement & Communication
  • Manage TDEV team email inbox, phone, and mail – coordinate communications by being the first point of contact for responding to inquiries.
  • Keep internal and external TDEV calendars updated with events and information.
  • Partner with internal communications team and contribute to the weekly HR newsletter and other communications by providing timely TDEV content.
  • Build effective working relationships with TDEV partners and relevant stakeholders to support and effectively communicate TDEV vision, mission, priorities, support, resources, and events.
  • Team Resource Management
  • Purchase and manage all TDEV team supplies.
  • Manage the use of TDEV equipment, books, and other resources and track their movement and upkeep.
  • Assist with TDEV Budget, submit invoices for payment; and reconcile department credit card statement on a monthly basis.
  • Research and communicate with vendors and suppliers, as needed; Maintain all vendor and supplier contracts, licenses, and renewals.
  • Miscellaneous
  • Provide back-up administrative support for other members of the HR and TDev team, as needed.
  • Participate in department process improvement activities.
  • Complete other duties as assigned.
