Your day as a Surgical Services Assistant would look like this:

  • Works closely with Surgical Services, Physician Groups, Information Technology teams and Materials Management team members to provide data and quality-related information.
  • Conducts site visits to review and evaluate office processes
  • Supports the development of recommendations impacting computer system and practice processes.
  • Assists clinical user areas by providing data entry and system training to end-user troubleshooting.

    Detailed Overview:

SUPPORTING THE VISION, VALUES, PURPOSE AND COMMITMENTS OF FRASER HEALTH INCLUDING SERVICE DELIVERY THAT IS CENTERED AROUND PATIENTS/CLIENTS/RESIDENTS AND FAMILIES:

This position provides support for the provision of data, system and quality processes related to the improvement of patient care outcomes within Surgical Services to facilitate the adoption and implementation of standard practices for acute sites across Fraser Health.
Works collaboratively with the Operating Rooms and with Physician Groups/Offices, Information Technology, Materials Management and Surgical Services team members to assist, support and participate in the provision of data and quality-related information for systems used within Surgical Services. Conducts site visits to determine office processes related to surgical booking; assists and/or participates in the review and evaluation of findings; liaises with physicians/physician offices, staff, end-users, management, clinical information systems and Surgical Services team members in supporting the development of recommendations impacting computer system and practice processes. Assists clinical user areas such as physician offices, OR booking or other surgical system areas by providing data entry/system training and end-user troubleshooting.

Responsibilities:

  • Provides confidential reviews of surgical patient waitlists for audit purposes by extracting and verifying system data, follows-up with physician offices to determine reasons for surgical delays; compiles reports for physicians, Surgical Services Management and OR Booking Office staff. Composes and edits correspondence re: matters of a sensitive/confidential nature ensuring appropriate follow up.
  • Conducts site reviews determining office processes related to surgical booking including Physician and OR Booking offices.
  • Provides access, training and ongoing support to the Surgery Information Systems team for assigned clinical applications related to the Electronic Medical Record (EMR) and other developing systems including user set-ups, dictionary building and updating. Provides basic troubleshooting and response to questions/queries from end-users; acts as liaison with users and vendor application specialist and/or Surgical Services for dictionary building, user access etc.
  • Initiates clinical user access for Meditech ORM, Surgical Services shared drives and other related systems.
  • Coordinates surgeon and booking office requirements through the SPR Provincial office; maintains and updates provincial dictionaries.
  • Provides confidential administrative support for the Surgical Services Program by preparing and processing transactions associated with human resources and payroll transactions such as status changes, vacancy requests, leaves of absence, etc. Provides transactional interface with payroll and relevant corporate systems.
  • Maintains and audits invoices to verify timekeeping, various third party contracts and purchased services. Compiles/runs financial reports for manager review; ensures invoices are authorized to predetermined amounts; analyzes and reports variances for multiple departments/programs.
  • Provides support/assistance in the communication and implementation of regional OR policies and procedures. Responds to employee inquiries; represents the department/unit(s) for administrative matters as required/appropriate.
  • Enters requisite information into a variety of databases/spreadsheets for relevant program activities; compiles, prepares, and reviews standard audit reports.
  • Assists budget development by ensuring financial results information is compiled and made available to Directors/Managers and as appropriate, issues identified.
  • Maintains the Surgical Services website on the Fraser Health Web; manages and maintains the Program Resource Library.
  • Monitors the Fraser Health Surgical Services department inventory for all equipment, instruments and supplies; establishes and maintains a system for program-wide distribution of information relevant to Surgical Services.
  • Participates in Project work as assigned.

Qualifications: Education and Experience
Grade 12, plus successful completion of post secondary courses or program in Operating Room Scheduling, Sterile Processing Technician, Finance or Procurement, supplemented by courses/knowledge in medical terminology and computers, plus three (3) years’ recent related experience; or an equivalent combination of education, training and experience.
