POSITION SUMMARY

This role reports into the Associate Director of Talent Management with dotted line responsibilities. The Talent Management Coordinator will support the Talent Management Team in recruiting, developing, scheduling, staffing, and retaining an approximately 80-member training community that supports the growing demand for IFS Institute’s programs. The coordinator will engage in frequent and sensitive written and verbal interactions with members of the training community and Institute’s staff, while handling all matters in a professional and timely manner. The training community is a group of approximately 80 trainers, assistant trainers, assistant trainee mentees and program assistants who deliver training to members of the IFSI community globally.
IFS Institute is managed as a distributed team that uses technology and regular in-person gatherings to stay connected. We are seeking someone who is comfortable with and skilled at remote work, self-leadership, and collaboration. We have two base locations – Chicago and Toronto and have a preference, but not a requirement, for this role to be in one of these two locations.

Responsibilities:

KEY RESPONSIBILITIES

Under the direction of the Associate Director of Talent Management, this role serves as the administrative liaison with trainers and administrative support for the IFS-I Talent Management staff.

  • Maintain accurate records for training team including bios and contact information.
  • Assist Associate Director of Talent Management and North American Talent Specialist with assigning trainers to programs, including gathering relevant information from trainers (e.g., schedules), document and track details related to trainers and related training programs with a high degree of accuracy, and respond to related inquiries.
  • Exercise good judgment and exceptional inter-personal communication skills while performing diverse, and sometimes confidential administrative tasks on both directed and independent projects.
  • Collect, file, and disseminate trainer staff to staff surveys at the end of each training program, assist with gathering trainer recommendations, interviews, and vetting for trainer mentoring programs.
  • Maintain impeccable and organized records regarding evaluation feedback, promotions, and other important trainer documents.
  • Communicate with IFSI administrators, trainers, and other stakeholders to ensure task and project completion, address special requests related to talent management activities, and solve or escalate problems as needed.
  • Arrange and attend meetings, including trainer retreat events.

ROLE REQUIREMENTS

  • 3- 5 years relevant experience.
  • Bachelor’s degree
  • Exceptional organizational, time-management, and follow-through skills
  • Skilled at communicating kindly, clearly, and professionally in written and spoken.

  • Knowledge of MS Office products (Word, Excel, Outlook), experience with HubSpot a plus
  • Proficient at hosting Zoom meetings.
  • Flexibility, ability to adapt in growing organization.
