Description:
Norfolk and Suffolk NHS Foundation Trust provides child and adult mental health services, learning disability, wellbeing, older people’s and eating disorder services across Norfolk and Suffolk.

JOB DESCRIPTION/PERSON SPECIFICATION

WE HAVE AN EXCITING OPPORTUNITY FOR THE RIGHT CANDIDATE TO JOIN A DEDICATED, FRIENDLY TEAM, IN A FAST-PACED ENVIRONMENT WITHIN THE NORFOLK AND SUFFOLK FOUNDATION TRUST, BASED IN KING’S LYNN.
The right candidate will be able to demonstrate strong communication skills, have the ability to prioritise a variety of tasks, provide a welcoming environment, and, have a dedication to service user experience.
The right candidate will need to show their exceptional customer service skills and evidence full administration experience for this role.
We are seeking someone to be able to evidence a flexible response to service needs, and the ability to think creatively with others.
Experience of working to deadlines with support, as well as the ability to work on your own initiative is imperative.
The successful candidate will need to work well within a Multi-Disciplinary Team, have a positive approach, and be able to remain calm under pressure.
We are a Specialist Mental Health provision, therefore, the successful candidate will need to maintain strict confidentiality, have the ability to confidently and sensitively deal with information from individuals which can be distressing at times.
A working knowledge of Microsoft packages are essential for this role. Knowledge of the Trust system Lorenzo would be an advantage but is not essential as training will be provided.
Responsibilities:
MAIN DUTIES OF THE JOB
- Greet and welcome visitors with a positive, helpful attitude.
- Answer and direct phone calls in a polite and friendly manner.
- Manage the reception area, ensuring it is tidy and presentable.
- Receive, sort, and distribute daily mail and deliveries.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Perform clerical duties such as filing, photocopying, and minute taking.
- Support with Referral Management.
- Manage room bookings.
- Support with stationery orders, building maintenance requests and other requisitions.
- Assist with administrative tasks as needed.
