Description:

THE SUCCESSFUL CANDIDATE WILL HAVE:

  • Previous team support/coordination experience, within a large complex organisation.
  • Process driven to be able to work with multiple IT systems and be comfortable navigating these with extensive planning and organisational skills. Other critical skills include a high attention to detail and flexibility.
  • Exceptional communication skills - both written and verbal are necessary, with the ability to liaise with stakeholders of all levels.
  • Having prior experience in providing high level administrative support in either a Team Assistant or Executive Assistant capacity and be able to provide relief support for the General Manager Executive Assistant, is a must.
    We are looking for someone with a natural curiosity and desire to learn, with the ability to see opportunities and take the initiative.

Responsibilities:

  • Daily support to Senior Managers with coordination of diary, email management and travel requests
  • Managing the central inbox, with high volume requests including daily ad-hoc admin
  • Financial Management with invoice payments and credit card reconciliation
  • Arranging onboarding of new starters and recruitment administration
  • Coordination of large-scale meetings, including agenda management, booking meeting rooms, organisation of equipment and catering
  • Coordination and submission of weekly and monthly reports
  • Liaising with external vendors
  • Support General Manager Level Executive Assistant when on leave
  • Successful management of business initiatives that support the achievement of key business drivers
  • Strong relationship management component across internal and external business partners at senior levels
  • Assisting, setting up, maintaining and/or enhancing team systems required for business repositories and controls
  • Coordinate training and development opportunities for team members
  • Keep team up to date with new releases and changes to supporting technolog
