As we continue to expand our operations, we are seeking a talented individual to join us in a multifaceted role that combines project management office (PMO) responsibilities, accounting tasks, human resources (HR) duties, and office management.

REQUIREMENTS:

Education to date relevant in Business Administration, Finance, HR, or related field.
Strong organisational skills with the ability to multitask and prioritise tasks effectively.
Excellent communication and interpersonal skills.
Proficiency in MS Office suite (Word, Excel, PowerPoint).
Fluency in English and German to a minimum Level C2.

Responsibilities:

As our Team Assistant, you will be at the heart of our operations, providing crucial support across various functions. Your responsibilities will include:

Office Space Management

  • Collaborate with external suppliers to ensure smooth office operations.
  • Coordinate with the cleaning company to ensure they have the necessary supplies and support.
  • Act as the primary contact for building management, bank, and accountant communications.
  • Manage office supply inventory, including water and consumables.
  • Lead efforts to maintain office cleanliness, including watering plants, and encourage team participation in general office maintenance.

Project Management Office (PMO)

  • Work closely with the Finance and Services Director to ensure accurate and timely completion of weekly timesheets.
  • Assist in the monthly accounts reconciliation process by managing receipts and related documentation.

Team Support

  • Serve as the first point of contact for office visitors and handle incoming calls on the office landline.
  • Communicate company announcements and People initiatives to the team.
  • Organize and coordinate team social events such as dinners, bowling, and karting.
  • Occasionally manage the fulfilment and dispatch of physical hardware for our reselling activities.

Sales Support

  • Collaborate with the Sales team and Services Director to keep Salesforce (SFDC) opportunities current and accurate.
