Job description - the role
AMS is the world’s leading provider of Talent Acquisition and Management Services. Our contingent Workforce Solutions (CWS) service acts as an extension of our clients’ recruitment team and provides professional interim and temporary resources. We partner with Arup to support contingent recruitment processes. On behalf of Arup, we are looking for a Team Coordinator for an initial 3 - Month contract to go permanent based in Birmingham. It is an office-based role with flexibility for hybrid working.
Candidate Profile: Key accountabilities, skills & experience

ESSENTIAL SKILLS AND QUALIFICATIONS:

  • Demonstrate solid experience in a similar role, ideally in professional services, multi-disciplinary environment.
  • Be an excellent communicator, both written and verbal.
  • Be experienced in standard office administrative procedures.
  • Demonstrate sound knowledge of Microsoft packages, including solid PowerPoint skills and ideally SharePoint.
  • Have achieved a minimum of level 4 NVQ qualification or other secretarial or administrative qualification would be desirable although not essential.
    About the client

Responsibilities:

  • Provide close support with tasks such as diary management, management of incoming email and preparation of mail and letters on their behalf, and the organisation of meetings including liaison with your counterpart in other teams and with clients.
  • Confidently and professionally liaise with clients and external collaborators both verbally by phone, via Teams and by email. Always maintain a professional outlook whilst delivering with a humane and personal touch.
  • Provide general support to the whole team with tasks such as arranging business travel and accommodation, booking meeting rooms with the required AV requirements and refreshments, meeting and greeting clients.
  • Attend and take minutes at meetings where requested. You will provide draft minutes for the meeting leader to approve and, where required, liaise with the attendees to see that actions are completed.
  • Support project teams in the QA management of their projects. This may include a host of activities such as draft preparation of standard QA records, arranging internal project design and management meetings, attending internal meetings, and taking minutes, keeping up to date project records such as contracts and financial reporting.
  • Prepare technical reports and specifications for the engineering teams. You will use Arup macros in Word, Excel and Publisher in line with the Arup brand, proofreading content to ensure accuracy, consistency and good grammar, editing and making suggestions for improvement.
  • Assist the preparation of promotional and technical presentations using PowerPoint.
  • Support our business development activities with the preparation of bids, PQQs and supporting documentation such as CVs, organograms, and programs. A key aspect is the searching our information databases for example projects, selecting shortlists in collaboration with the bid leader and presenting the relevant information in the required format.
  • Other general admin ad-hoc tasks.
