Responsibilities:

ABOUT THE ROLE:

This position demands agility, adeptness at navigating tight deadlines and conflicting priorities, along with the capacity to process information swiftly and accurately, enabling rapid and decisive decision-making. The perfect candidate embodies proactivity, maintaining composure amidst pressure, adept at reassessing priorities, taking initiative, and staying ahead of the curve, all while exhibiting a can-do attitude and thriving with minimal oversight. Attentiveness to detail, diplomatic finesse, and a profound grasp of the business landscape are essential for success in this role.
This role is a five month fixed term contract.

KEY RESPONSIBILITIES:

  • Provide comprehensive administrative support, including minute-taking for PSG (Europe and Asia Pacific) and Group Project/Operations meetings, tracking action points, and ensuring team and broader business compliance.
  • Prepare and format various documents such as templates, presentations, letters, and emails, including RFAs and VRFs, with a focus on diplomatic and consistent prioritisation.
  • Coordinate the creation and distribution of Reports, including ExCo and PSG (Europe and Asia Pacific), ensuring adherence to timelines and corporate standards through tasks like editing, printing, collating, binding, and circulation.
  • Act as an ‘Authorised Travel Administrator’, overseeing and aiding in the processing of TAFs, with additional support from Corporate Traveller when necessary.
  • Manage IT support systems, including DocuSign uploads and workflow, Gateway, and CAG tracking schedules.
  • Maintain and organise Group Project online folders, ensuring a current and functional filing system, with responsibilities including version control, document filing, updates, and archiving as needed.
  • Participate in coordinating internal and external functions like workshops and meetings, liaising with relevant departments to uphold company processes and standards.Establish and uphold high work standards, responding promptly to tasks and ensuring consistent, organised execution.
