Responsibilities

  • Provides daily administrative support to the assigned Zone Shop(s). Greets guests and vendors and answers the main line. Makes appointments, schedules meetings, and reserves resources. Reads, answers, composes, and edits correspondence. Primary contact for the uniform company and in charge of checking invoices for accuracy before routing for payment. Orders new or replacement uniforms when needed and follows until received. Confirms accuracy of orders, corrects invoices, and adds materials to inventory. Performs substantial data entry and management to complete work orders; checking for time and materials before closing and entering staff time. Picks up and distributes mail and copier output.
  • Supports and participates in systems assessment for changes and provides training to staff as needed. Provide backup to Admin Associates supporting other zone shops. Prepares and submits requisitions for purchase orders. Contact vendors for product or service availability and pricing. Prepares paperwork for credit card and central store purchases and routes to accounting. Provides assistance with researching and checking incomplete work orders and reprints when needed. Assists with inventory management. Provides daily support to process material issues and returns and ensures they are accurate. Communicate with the shop supervisory team and staff to correct errors.
  • Assists with cycle counts throughout the year by supporting the organization of the shop warehouse prior to count, assisting with annual inventory, and providing daily support in downloading the count of materials in stock. Provides quality customer service for internal and external customers, which may include pick up and delivery of materials. Works as a team member in a diverse environment. Performs other duties as assigned
