Responsibilities:

  • Coordinate the different elements of the tender document by communicating with various contacts across the business to gather draft information for review.
  • Producing a first draft of the tender response, including editing and drafting responses to specific tender submission requirements.
  • Preparing content for pre-qualification questionnaires, tender responses and presentations including company and division-related content.
  • Post-submission, review and learn from the submission process to continuously improve processes and submissions.
  • Ensuring proposal documents follow company branding guidelines, standard formatting, and quality standards.
  • Maintaining/creating all master document sets relevant for tendering team and multiple sectors, including professional profiles.
  • Meeting all RFT/RFP deadlines.
  • Stay up-to-date with proposal management tools and technologies to optimise efficiency and enhance the quality of proposals.
  • Review, critique and challenge existing written material, edit and make improvements with a focus on continual improvement.
  • Provide day-to-day support to the Estimating team and ensure Tender Management procedures are adhered to.
  • Other ad hoc duties which may be assigned by your manager.
  • Assisting in meeting key tender milestones and ensuring accurate completion within deadlines.
  • Coordinating schedules and managing calendars for multiple parties to ensure that activities are properly arranged with no conflicts.
  • Coordinate office activities and operations to secure efficiency and compliance to company policies.
  • Manage Tendering mailbox to ensure all actions are complete.
  • Submit timely reports and prepare presentations/proposals as assigned.
  • Assist colleagues whenever necessary.
  • Liaises with internal and external units to carryout job tasks.
  • Organize and schedule meetings and events.
