We are currently looking to fill a 12-month contract position for a TFW HR Generalist for our Human Resources Department at our Farms Leamington, ON location.
The TFW HR Generalist’s primary responsibility is to support the Temporary Foreign Worker Program including but not limited to onboarding & offboarding processes, employee relations concerns, employee development/training, conflict resolution, and a full range of general HR support to the employees.

QUALIFICATIONS

  • 1+ years’ HR experience preferably with TFW Programs in a dynamic, fast-paced, high-volume environment.
  • Must be proficient with Microsoft 365 applications.
  • Fluency in Spanish and English is required.
  • Excellent verbal and written communication skills with the ability to develop and maintain relationships of trust with individuals at all levels of the organization.
  • Strong problem-solving skills required to analyze/solve problems and any unforeseen complications that could arise.
  • Must be able to prioritize and multi-task while having strong organizational skills and attention to detail.
  • Ability to manage sensitive and confidential information with tact and discretion.
  • Valid driver’s license and personal vehicle are required.
  • Available to work Monday-Saturday after hours may be required at times. Flexibility with work schedule is required especially for special events, flight arrivals/departures etc.

PHYSICAL REQUIREMENTS

  • Working conditions are normal for an office environment but some responsibilities require warehouse, greenhouse (temperatures vary from hot and humid to cold) and bunkhouse work.
  • Although this is an office roll, the shift will require regular walking, sitting, and standing. Additionally, there will be occasional requirements for lifting, bending, pushing, and pulling throughout the day.
  • The TFW Minivan is available most of the time for the TFW Team to move from phase to phase, but on some occasions, members of the team will be requested to use their own vehicle.
  • The ideal candidate must be able to complete all physical requirements of the job with or without a reasonable accommodation.

Responsibilities:

  • Coordinate & conduct Orientation training. Prepare paperwork, schedule, and facilitate smooth onboarding process, coordinating with cross-functional departments to deliver an exceptional first-day experience.
  • Support with employee inquiries and complaints. Provide excellent customer service and act as a liaison for employees and management in relation to leave of absence, grievance matters, coaching discussions, company policies/procedures, and all other employee-relations matters.
  • Record incidents, conduct investigations, and document meetings thoroughly. Respond accordingly through communicating, training, and following up with supervisors and employees.
  • Review and assist with updating HR procedures, training material, and SOPs accordingly. Suggest new procedures to continually advance efficiencies.
  • Provide support on identifying, work-related or performance challenges to improve employee relations and work performance. Assist and support with the worker performance appraisal programs.
  • Guide and assist management and supervisors through the progressive discipline process. Draft incident and warning reports. Support the compliance of the Temporary Foreign Worker Program by studying existing and new legislation.
  • Provide translation to different departments as needed.
  • Assist with administrating payroll deductions. Ensure payroll deduction forms are completed if applicable.
  • Oversee and administer employee benefits program; support health and safety practices and recommend modifications if necessary.
  • Schedule all arrivals and departures and follow all the procedures required. This includes the pre-arrival and post-arrival processes. Complete all necessary documentation and administration.
  • Receive workers at the arrival points which could be anywhere from Leamington to Tilbury, often after normal working hours.
  • Respond to all after-hour calls and prioritize matters that require attention. Resolve the identified issues and provide the appropriate follow-up. The HR Generalist may be obligated to return to the premises to address the matter, based on the severity.
  • Provide support with insurance claims and balance bills at the end of each month.
  • Assist with company events i.e. Annual Christmas Party, Employee Appreciation Event, etc.
  • Actively initiate, participate in, and support continuous improvement initiatives.
  • Ensure adherence to the confidentiality policy at all times including when conducting investigative reports, disciplinary proceedings, employee inquiries, and medical appointments.
  • Conduct ongoing departmental training as required.
  • On occasion assist in reviewing weekly uniform invoices and documenting them on a spreadsheet to make sure it matches up correctly.
  • On occasion perform bi-weekly inspections including fire extinguishers, emergency lights, and smoke detector alarms monthly.
  • Support programs and maintain human resources information and related records systems.
  • Support the team with Health Unit Housing Inspections, ensuring we comply with the government requirements.
  • Assist in submitting maintenance work orders and keep track of the orders when finalized.
