HOURS OF WORK

A normal working week for Transfer Coordinators will consist of up to 75 hours per week.
Transfer Team Members will work the majority of their hours over the core transfer days; Saturday, Sunday and Monday. Transfer days will involve very early starts and late finishes. Often, you will travel to the airport the night before transfer day, in order to be ready to begin early in the morning. Transport and accommodation will be provided in these instances.
Outside of the core transfer days, you may be based at an SBC summer school where you may be asked to assist with ad hoc transfers, transfer day administrative preparation and other Summer School duties.

Responsibilities:

ABOUT THE ROLE

THE ROLE

The Transfer Coordinator along with the Transfer Manger is responsible for the successful organisation and implementation of the airport transfers. Transfers are a hugely important part of the summer with regard to the overall success of the schools as our students’ first and last experience of the schools will be the welcome and goodbye they receive from our staff at the airports.
Over the summer nearly 100 staff will be involved in the transfers of more than 1000 students, so to implement a smooth transfer day requires a very high level of organisation, preparation and management of the task.
The Transfer Coordinator will along with the Transfer Manager coordinate a team of staff on transfer days, consisting of Transfer Staff, working alongside Summer School Activity Leaders, College Mentors and Teachers and Tutors. A key part of the role will be supporting the preparation for transfer days at the airport. This will require briefing Transfer Staff, and the other staff involved, and effectively communicating with them and the Transfer Manager on transfer days. The Transfer Coordinator will also provide general management and leadership as part of the summer school management team and will therefore need an overall understanding of the running of the school and be willing to address situations whenever they arise.

  • Cambridge College
  • Oxford College

Remuneration: Paid weekly, one week in arrears. The weekly rate received for Transfer Manager is £780 PLUS any accrued holiday to be paid at the end of contract)* Food and accommodation are included for all residential SBC staff.

MAIN DUTIES:



    • Manage the Transfer Team, including overseeing their induction and weekly briefings.

    • Support the preparation of transfer days thoroughly in advance to have a good understanding of arrangements prior to the schools starting.
    • Use Salesforce to plan, check and confirm flight details for all students who have requested transfers.
    • Support the preparation of transfer spreadsheets with information for each transfer including flight, terminal, coach or taxi information, timings and staffing information.
    • Brief managers and all staff involved in transfer days, ensuring all staff are fully briefed on their roles for the day.
    • Communicate with coach companies and taxi firms to confirm numbers and times of arrival and departure.
    • Be present at Heathrow Airport during all site transfer days and at other times when necessary.
    • Ensure all staff have the relevant information available to them, such as flight details, terminal maps, relevant telephone numbers for the day.
    • Deal sensitively with situations that may arise.
    • Be committed to the safeguarding and welfare of students in your care.
    • Adhere to all Health and Safety measures (including COVID safety measures, risk assessments and other policies and procedures)
    • Engage with the staff and students at all times, in a friendly but professional manner
    • Deliver training to staff in transfer procedures during the schools’ staff induction days
    • Oversee hotel and taxi bookings for the Transfer Team and any other staff requiring transport and accommodation.
    • Work with the Finance Team to submit receipts and information for all transfer expenses.
    • Assist at any time, whether on duty or not, with an emergency situation
      General Duties:

    The welfare of students is paramount to us and every member of the team is expected to assist in maintaining the welfare and order at the site, including in the accommodation.

    • Help with student transfers for any arrivals and departures if needed. This can include at airports, train stations and in taxis
    • Accompany and supervise students on offsite excursions and activities, where required
    • Actively supervise and interact with students during meal and break times
    • Empower students to successfully engage in the programme while helping develop independence, confidence and social skills
    • As with all residential work, be able to show a large degree of flexibility
    • Help ensure that the students do not breach the rules of the college
    • Engage with the students at all times, in a friendly but professional manner
    • Assist at any time, whether on duty or not, with an emergency situation
    • Provide feedback on your experiences during & also at the end of summer
