QUALIFICATIONS

  • University bachelor’s degree or College Diploma, or comparable experience;
  • More than 5 years administration experience in public organizations (post-secondary preferred);
  • Exceptional attention to detail;
  • Excellent communication and interpersonal skills;
  • Ability to conduct research and create reports or presentations;
  • Excellent time management skills;
  • Ability to learn quickly;

    The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m Monday through Friday during and including May to August., amounting to thirty-three and three-quarter (33.75) hours per week.

Responsibilities:

RESPONSIBILITIES

The Transformation Implementation Office (TIO) requires a Program Administrator to support the team in the delivery of the transformation projects detailed in the Plan. The Administrator is responsible for coordinating schedules and meetings, maintaining budgets, records, and reports related to the various projects. The individual is the main point of contact between the internal and external participants.

  • Organize and participate in meetings of the transformation teams including the Transformation Consulting Group (TCG). Set agendas and prepare minutes, documenting and following up on important actions and decisions;
  • Facilitate communication and schedule between the TIO, internal participants, and external consultants throughout the program life cycle;
  • Maintain records of transformation related activities including plans, progress reports, presentations, and communications amongst others, using Google (restricted) shared files;
  • Receive and perform a preliminary review of incoming correspondence, signaling deadlines and expedited matters;
  • Take initiative and make decisions related to general office duties, functions and responsibilities, anticipating emerging issues of consequence and developing approaches to address the same, knowing when to seek guidance and direction;
  • Support and collaborate with senior leaders and the TIO to identify opportunities and support the implementation of key recommendations;
  • Strategically manage and prioritize complex schedules and multiple competing and urgent projects and issues. Understand and apply sound judgment to escalate issues when appropriate;
  • Assist in overseeing operational matters with respect to hired consultants working for the TIO, including monitoring of deliverables, supporting contract development and invoice payments ensuring compliance to LU’s policies and administrative procedures;
  • Working with the Program Communications Officer, maintain the internal and external Transformation websites;
  • Working with the Lead Transformation Officer, coordinates the creation of project status reports with the Project Manager, and presentations to Laurentian’s senior managers, executives, the Board of Governors, and other stakeholders (e.g., MCU);
  • Process the Transformation Program related transactions such as, hiring of personnel and external consultants, getting expenditures approved and paid, and providing regular budget updates;
  • Maintain, or committed to creating an equitable, diverse, and inclusive working environment; and
  • Perform other duties directly related to this position as assigned.
