Description:

THE JOB

The mission of the venue logistics (VLOG) project is to provide staff support services at the EURO 2024 venues. These services include setting up all working areas, managing venue offices and overseeing general staff needs such as office materials, petty cash, and staff break stations.
Trained and supported onsite by the Venue Logistics Manager and Venue Logistics Coordinator, the four Venue Logistics Assistants (m/f/d) will be based in the main venue offices. They will also work with Venue Logistics Volunteers and other key staff members to ensure that the stadium and its surrounding areas are ready to receive everyone involved with the tournament.
The Venue Logistics Team will be responsible for overseeing the set-up and running of the various EURO offices, receiving deliveries of furniture and office supplies, helping to turn each stadium into a working EURO venue. The team will also oversee the day-to-day on-site logistical requirements for staff, including accommodation, transport and break stations, and will manage general office responsibilities, such as troubleshooting, office storage and petty cash usage.

REQUIREMENTS

  • One to three years’ experience of working in a similar position an advantage
  • Previous experience of working or volunteering in a multicultural business environment or at large sporting events an advantage
  • Good written and oral level of English and German
  • IT skills: MS Office (Word, Excel, PowerPoint, Outlook) (Advanced)
  • Good organisational and time-management skills
  • Experience of general administrative work
  • Able to work accurately under pressure and remain calm in busy, potentially stressful, situations
  • Knowledge of the relevant EURO 2024 host city and its surroundings
  • Confident and careful driver with a valid driving licence (for driving venue pool vehicles)
  • Able to quickly assimilate information from spreadsheets and other tools
  • Enjoys working as part of a team
  • Commitment to the project and team for the entire period

Responsibilities:

  • Assist with the delivery, set-up and post-event collection of office furniture; check and update the furniture inventory; management of damages and spares
  • Set-up staff break stations to provide hot and cold drinks and snacks to staff; includes setting up and cleaning coffee machines, fridges and all other equipment, shopping for resupplies and keeping the break stations clean and restocked
  • Distribute the ‘starter‘ office kit containing office supplies for all venue offices; oversee the ordering, storage and distribution of re-supplies
  • Assist with daily staff moves to and from hotel to venue; as required per hotel, provide 1) information on walking/cycling routes and maps and/or, 2) details of public transport routes and timetables, and purchasing and distributing tickets and/or, 3) supervising staff shuttle buses and timetables
  • Drive and maintain the venue pool vehicles; ensure that the vehicles are kept clean, regularly refueled and display the correct parking and access passes; keep a log of all journeys undertaken in the log book; read, understand and sign the fleet policy and relevant documents
  • Drive staff to and from the hotel and venue prior to the start of the venue shuttle buses; drive staff to meetings held off-venue
  • Know the layout of the venue, including the location and regulations for parking and drop off / pick-up points for vehicles and pedestrians on match days and non-match days
  • Support the venue petty cash/credit card process by shopping for last-minute, essential items, and distribute them to the relevant projects; keep accurate records of expenses
  • Liaise with the local UEFA staff hotels, assist with large group check-ins/outs to ensure a smooth and fast process; create and place notices in hotel lobbies with information for staff, such as venue shuttle timetables, or public transport information
  • Use FAME, the database containing the EURO 2024 staffing plan, to download reports detailing daily staff arrivals/departures, staff numbers per venue on any given day, hotel rooming lists etc.
  • Use VISTA (UEFA tool providing maps of the venues and photos of the facilities) to help staff with way finding
  • Use the VISTA asset management tool to coordinate furniture set-up and dismantling
  • Conduct venue tours for key new staff, introduce them to colleagues and provide them with arrival information sheets (prepared by the venue logistics team) containing essential information for working and staying in the host city
  • Collect and deliver post and parcels via the agreed delivery system on-site
  • Fetch and carry items, such as uniform packs, furniture, office supplies and drinks
  • Carry out general administrative tasks such as filing, photocopying, printing and creating basic documents
  • Support the broadcast logistics team, based at the broadcast compound, on and around match days, especially with the coordination of the host broadcast (HB) production and technical teams’ inter-venue bus moves, ensuring the teams are aware of the timings and pick-up/drop off points, and assisting with the departure and arrival of the teams at the venues and hotels
  • Identify local laundry facilities for staff
  • Support the technical services & overlay team (TECH) with onsite management of cleaning services
  • Work closely with the venue delivery & warehouse team, based at the Logistics Point and Logistics Compound, with relevant staff services, deliveries and storage
  • Assist with regular reporting in accordance with EURO 2024 requirements and follow all administrative processes
  • Support the venue logistics manager with the venue dismantling process
