POSITION SUMMARY

  • This position collaborates with nursing and other healthcare staff to promote excellent patient care, family and visitor focused service. Provide administrative assistance to the clinical unit/ward staff and accurate data transmission of patient movement. Provides efficient reception and clerical services, maintain patient records

Responsibilities:

SUMMARY OF MAIN DUTIES

  • Actively participates in upholding and promoting the vision and culture of University Hospital Sharjah (UHS)
  • Complies with all the UHS policies, procedures and fire regulations
  • Participates in all aspects of the International Accreditation Program to assist UHS to attain and maintain international accreditation standards.
  • Maintains a safe, clean environment using approved infection control practices.
  • Implementing the daily clerical planning at the assigned ward level.
  • Maintain ward-related records and databases as directed by the department manager.
  • Communicate effectively and promote a supportive team approach within the ward/unit to ensure good working relationship.
  • Accept telephone calls, triage and transfer messages and enquiries of a clinical nature to medical, nursing and other allied health staff.
  • Maintain patient record and information per the health information system including movements, episode care provider, book appointments for the inpatient, Scan documents and medical reports.
  • Liaise with the Insurance department for the approvals/and rejections follow up
  • Maintain patient record including completion of the final discharge summary.
  • Maintain and file in a pre-determined order as outlined by the Medical Records Department (MRD) all relevant paperwork relating to patient stay/activities.
  • Arrange transfers/discharges of patients with the admissions officer
  • Liaise with admission office regarding the availability of beds.
  • Verify with the charge nurse that discharge planning has been followed prior to patient discharge.
  • To ensure all the patients admitted to the ward has the Bill of rights and responsibilities and explain it to the patients if required.
  • To ensure that all patients admitted to the ward has a signed general and admission consent.
  • As directed will call relevant respond code/s as instructed by appropriate clinical personnel in Emergency situations.
  • Requisition of ward stationery/forms and other items and maintain adequate supplies and store supplies required to effectively run the ward desk area.

RESPONSIBILITIES

  • Trains new and relief ward clerks and orientates new medical and nursing staff to the clerical requirements of the ward.
  • Performs duties in accordance with relevant Safety and Health parameters.
  • Participates in a continuous process to monitor, evaluate and develop services and performance as directed by the Nurse Manager or the Charge Nurse.
  • Undertakes other duties as directed.
  • Assists with the maintenance of a clean, safe environment
  • Demonstrates sensitivity to patients’ comfort and privacy and expresses interest in their progress.
  • Utilizes and ensures maintenance of equipment and instruments, reporting any damages, equipment malfunctioning to the IT department and nurse in charge immediately.
  • Assist Physician/Nurses to overcome language barriers.
  • Assist the Nurses with the Charges of the Consumables and Escort bed.
  • Check daily the diet list and inform the team leader for any deficiency.
  • Arrange, attend and take the ward meeting minutes as required
  • Participates in continuous quality improvement initiatives, in service education programs, unit meetings and committee functions as assigned by the manager.
  • Initiates emergency, safety practices and fire safety measures as necessary
  • Reports all incidents through agreed channels and chain of command, ensuring Incident report is completed, submitted to nurse in charge and any immediate action required taken
  • Maintains and adheres to patient confidentiality at all times
  • Responsible for attendance to yearly mandatory training as scheduled on mandatory training calendar
  • The employment terms and conditions for this position are specified in the individuals Employment Contract
  • To ensure that all patient escort where permitted are registered and escort card is issued to them.
  • Coordinate the requested escort certificates per UHS policy
