Location: Dubai, United Arab Emirates
Salary: AED 22 – 28,000 per month

The Warehouse & Facilities Manager must undertake a range of activities that support the delivery of all projects and services. This multifaceted role encompasses the management of the warehouse, storage, equipment, logistics, maintenance, and upkeep of the facilities.

QUALIFICATIONS:

  • Minimum 5 years of professional warehouse management experience.
  • Proven experience in restructuring warehouse operations to support scalability.
  • Experience leading a team including coaching and mentoring members of staff.
  • Self-motivated person with excellent time and people management skills.
  • Excellent communication and interpersonal skills. Communicates in a positive and inclusive manner always demonstrating respect towards others regardless of job level.
  • Advanced professional English language – both written and verbal.
  • Structured, Methodical working practices.
  • Microsoft Excel and Power Point - advanced user
  • Proven experience of financial reporting
  • Strong numerical and analytical skills
  • Strong attention to detail, data management and quality of work.
  • Ability to work under pressure to strict deadlines and self-manage workload and priorities.
  • Flexible to work hours based on the requirements of the live event industry.
  • Willingness to work independently and unsupervised or in a collaborative manner as part of a team.

Responsibilities:

RESPONSIBILITIES:

Duties will include:

  • Supervision and coordination of warehouse team and the control of warehouse spaces.
  • Collaborate with management to plan, monitor and execute department CAPEX/OPEX budgets.
  • Manage the Implementation and budget of the planned preventative maintenance program for access equipment, vehicles, and facilities.
  • Gather data for the regular reporting of key departmental metrics and performance indicators.
  • Management of staffing Rota’s, Weekend coverage and Callout schedules through approved systems such as Easy Job, Employment Hero and any other software/tool.
  • Comprehensive communication and liaison with all departments in relation to their operational needs and to communicate daily with other departments.
  • Accountable for ensuring prepared equipment is shipped accordingly, creating associated manifests and transport documentation.
  • Ensure teams follow processes in the receipt of all deliveries, shipments and manage/record/store associated documentation and records.
  • Management of Equipment prep/de-prep, loading/unloading, Deliveries in/out and Transport & Logistics for Live Events and SI, ensuring appropriate workflows and safe working practices are always adhered too.
  • Management of storage systems and retrieval of items, as well as stores including consumables, plus the ordering, storage and stocking and tracking consumption of such items in conjunction with the asset manager.
  • Ownership of warehousing facility management and its inherent services, electrical, water & waste.
  • Ensure coverage is in place for cleaners and facility maintenance can undertake work out of office hours.
  • Creation of and management of facilities maintenance plan.
  • Be involved with the planning and supervision of any building maintenance requirements.
  • Monitor the efficient and timely use of the Equipment Rental System (Easy Job) and other operational systems, always ensuring its accuracy. (i.e equipment checked in/out)
  • Implement a process to notify Project Managers when there are scheduling conflicts between jobs and troubleshooting to determine solutions.
  • Support the resolution of equipment shortages in partnership with the Asset Manager and Head of Technical.
  • Monitor that PMs sign off all booked external vehicle and labour requests for specific projects/events.
  • Ensure any relevant stock control is maintained, including reporting of missing items and faulty stock.
  • Participate in the continuous development of the Equipment Rental System.
  • Schedule and management of periodic audits of assets, reporting losses, and damages.
  • Oversee the regular maintenance of company vehicles owned and leased in conjunction with the Transport & Logistics Manager.
  • Manage the execution of annual and periodic Stock Takes and annual equipment PAT Testing and recording to ensure completion and compliance.
  • Support the management of the Quarantine, Storage and retrieval of equipment and goods.
  • Overall responsibility for the team and Health and Safety on premises in line with ISO 45001
  • Manage day-to-day staff needs including expenses, annual leave, and assistance.
  • Provide positive leadership, communication, direction, and mentorship.
  • Actively foster a workplace environment that cultivates teamwork, enabling the generation of ideas, effective conflict resolution, and the management of team diversity.
  • Empower employees to take ownership of their day-to-day responsibilities and goals.
  • Provide department members with timely and constructive feedback.
  • Lead a supportive Performance Management process for an inclusive and high-performing culture.
  • Collaborate with Management to establish a structured training and development program for self and team.
  • Ensure compliance of all Operational staff members concerning company rules, policies procedures.
  • Ensure H&S procedures are followed and spot-checked, and employees are aware of their responsibilities, to minimise NCRs.
  • Ensuring the completion of all relevant HS&E documentation permits to work etc, for installation of items within the Warehouse and managing third-party suppliers to ensure H&S compliance across all activities.
  • Liaise with external H&S consultants and relevant training centres for the provision of pre-set staff safety training and certification; ensuring that health and safety training records for staff are up to date.
  • Contribute to the development and continuous improvement of Operational workflows and associated SOPs.
  • Manage departmental quality and standards, upholding ISO certifications.
  • Perform other duties as required for your level.

HSE RESPONSIBILITIES:

  • Ensure work is carried out in a safe, healthy and environmentally compliant way.
  • Ensure a clear understanding of the IMS Policy and relevant objectives.
  • Identify workplace hazards and determine risks associated with them.
  • Identify environmental aspects and take relevant actions to mitigate any unacceptable impacts.
  • Participate in Mock Drills – Fire, Spill, Splash etc.
  • As applicable participate in Incident Investigation
  • Raise alarm and report to the line manager any uncertainties or deviations when seen.
  • Ensure following protocols as stipulated by the Government in order to prevent ill-health and injuries.
  • Complete assigned HSE Training within the stipulated time frame.
  • Ensure awareness of legal requirements and work in compliance
  • Ensure to follow all HSE directives as stated by the Management of CT
