Job Title: Spa Receptionist
Department: White Horses Spa
Main Purpose of Job: To receive customers to a Spa and attend to their enquiries about services offered in the Spa.
Liaises with: Front Desk, Reservations, Concierge

QUALIFYING CRITERIA

  • Experience of 5 star hospitality an advantage.
  • Highly computer literate.
  • Good organisational skills.
  • Strong team player
  • Excellent communication skills both written and verbal.
  • Positive attitude, cheerful and courteous demeanour.
  • Ability to work flexible hours.
  • Ability to remain calm whilst under pressure.
  • Additional languages an advantage.

Responsibilities:

MAIN DUTIES

  • Arrive to work on time, appropriately groomed and in the correct uniform.
  • Verify all scheduled staff members are present for their opening shift.
  • Advise Manager of any absences.
  • Welcome and check in guests upon their arrival, complete necessary paperwork and introduce guest to the Spa Attendant.
  • Complete the required temperature check of clients on arrival to the Spa and ensure guest complies with all Covid -19 Health and Safety protocols.
  • Book, schedule and confirm all appointment requests received by phone, email or in person and notify each guest of cancellation policies.
  • Advise guests of the menu of services available to them and provide a summary of what each treatment involves.
  • Upsell additional treatments and services, if and where appropriate.
  • Thorough knowledge of retail products on offer required in order to upsell these products to the clients.
  • Perform all check-in and check-out tasks, ensuring that all required documentation, including Health & Safety documentation is completed but the guest.
  • Inform customers regarding authorisation and payment methods and verify their credit card data.
  • Collect all essential contact and payment information.
  • Balance all tender types i.e. credit cards, room charges, member charges, gift certificates and any miscellaneous charges.
  • Maintain updated records of bookings and payments.
  • Monitor stock and complete stock requisitions/ordering in a timely manner to ensure minimum stock levels are maintained, including linen orders, Hennessy Hair & Beauty supplies orders, requirements from central stores, and treatment products to name but a few. All retail product orders are to be approved by the line manager.
  • Maintain a friendly, cheerful and courteous demeanour at all times.
  • Ensure a tidy and presentable Spa Reception desk and welcome area is maintained at all times.
  • Respond to customer issues, complaints, problems in a quick and efficient manner to maintain a high level of customer satisfaction and quality service.
  • Ensure safety standards are met by following guest and security procedures, and reporting any suspicious activity to security, manager, or Manager on Duty.
  • Participate in training programmes as required.
  • Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel which can include day, evening or weekend shifts.

Relaxation Room:

  • Ensure the area is well stocked and continuously replenished with required items including tissues, sanitisers, teas, water, and towels.
  • Ensure relaxation beds and lights are powered on.
  • Make refreshments i.e. Herbal teas for the client after their treatment.
  • Sanitisation of beds after each client.
  • Ensure a tidy and presentable relaxation room is maintained at all times.

Spa Locker Rooms:

  • Ensure the area is well stocked and continuously replenished with required items including tissues, sanitisers, teas, water, towels, bath robes, and slippers.
  • Sanitisation after each client
  • Ensure tidy and presentable Spa Locker Rooms are maintained at all times.
