OPPORTUNITY

MacEwan University is seeking a Work Integrated Learning (WIL) Administrative Coordinator for a full-time continuing opportunity with the Careers and Experience department.
The Work Integrated Learning Administrative Coordinator will provide comprehensive administrative support to the WIL team and ensure compliance with record-keeping and reporting requirements. This role will contribute to the growth of WIL across campus and the success of WIL initiatives through effective coordination, scheduling and support for WIL experiences.

Key responsibilities include:

  • Providing administrative support for course-based experiential learning projects, including scheduling meetings, organizing project materials, and tracking project progress.
  • Assisting with the preparation of program materials, presentations, and promotional resources.
  • Managing WIL agreements, including coordinating with faculties, students, and community partners to ensure all required WIL agreements and contracts are signed.
  • Facilitating and coordinating legal review processes for new, updated, and renewing of existing WIL contracts and agreements.
  • Reviewing/approving organizations and postings on the MacEwanLife job board.
  • Providing support to set up new organizations/faculty members on WIL platform (currently Simplicity and Riipen).

SKILLS

You will have:

  • Excellent time management, organizational and prioritization skills.
  • Strong proofreading and editing skills, attention to detail.
  • Excellent ability to communicate and collaborate with team members.
  • Strong verbal, written and interpersonal communication skills with a professional and friendly approach.
  • Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams, SharePoint), Google Suite, Canva, and other presentation/resource creation tools.
  • The ability to manage and coordinate multiple projects.
  • The ability to create professional reports and correspondence.

QUALIFICATIONS

  • A minimum of a diploma or higher-level certification in office/business administration or a related field.
  • A minimum of three (3) years of experience in administrative coordination and support.
  • Experience in a post-secondary institution would be considered an asset.
  • Experience managing high-volume of records.
  • An equivalent combination of education and experience may be considered.
