Responsibilities:

TE TŪRANGA | ABOUT THE ROLE

The City Operations Team performs an essential role in our city, keeping our green spaces well maintained and beautiful. Tauranga is a great place to live and play and our green spaces are core to the community’s ability to enjoy everything the city has to offer.
We are currently looking for an experienced Team Coordinator to support our busy operation. This is a mixed role that has elements of Team Coordination and Workforce Planning. Essentially, we need a switched-on team player who is keen to help the team achieve its shared objectives.
This is a newly created role that will be based at our Tauriko depot.
The working hours are: 6.45am to 3.15pm Monday to Friday, 40-hour week
The main purpose of this role is to enable the City Operations Team to be as productive, safe and efficient as possible. This will be achieved via providing exceptional administration support to the team and by providing workforce planning support (triaging both reactive and planned work and scheduling resources). This position reports to the Workforce Planning Lead.

Key aspects of this role include:

  • Help allocate all planned and reactive works. Ensuring the right resource at the right time.
  • Provide constant communication to the field crews and people leaders, making sure everyone is aware of changes in the work plan at all times.
  • Support our people leaders with whatever they need to enable their team to do an awesome job.
  • Monitor the use of dispatch tools, the field mobile solution and other systems, to ensure the tools are being used correctly and data is of a high standard and meets quality compliance outcomes.
  • Help support our team, making their life easier by ordering their PPE, assisting them with general enquires they may have, organising team events, assisting them with training and providing IT systems support.
  • Contributing to maintaining the general environment of our office. This may include ordering supplies, catering, assisting with the set-up of events, logging requests through our internal system, watering plants, collecting mail, creating & managing purchase orders and invoices basically anything else the team needs.
  • Assisting with month end processing including some reporting

  • Adaptability, be comfortable working in the grey and dealing with constant change as our team is in a hyper growth stage
  • Proven ability to multitask and prioritise competing demands
  • A strong attention to detail and proven problem-solving skills
  • Computer savvy with the ability to learn new systems quickly. Strong MS office skills are also required including advanced Excel skills. Exposure to PowerBI, Survey 1,2,3, ARC GIS or e-roads would be a bonus
  • Exceptional communication skills including the ability to engage and build relationships with people from all backgrounds.
