Job description
The Workplace Management Team seeks a Workplace Manager to join the team on a full-time basis. The role of Workplace Manager will support the Workplace Management Team across various projects including learning and teaching and new ways of working, providing valuable design, AutoCAD and visualisations skills.
The Workplace Manager will work closely with our internal clients at a senior level to ensure that the client’s portfolio is fit for purpose and that they achieve optimum use of their space across the estate portfolio.
This is a dynamic and exciting role working with a social and fun team on all aspects of workplace planning, interior design, and FF&E specification.
Reporting to one of the Senior Workplace Managers, the role will require the successful candidate to design interior spaces such as offices, classrooms and informal spaces, sourcing FF&E, and accessories from conception through to installation, including designing, sourcing, budgeting and assisting in the procurement of all items. The role will be supported by the wider Workplace Management team including the newly appointed Furniture Coordinator, working closely with internal clients and Campus Operations colleagues to ensure projects are delivered holistically.
As a member of the Workplace Management Team, the Workplace Manager is responsible for:
Planning, scoping and co-ordination of projects.
The preparation and development of briefs, space plans, drawings, presentations, and material specifications.
FF&E specifications and finishes schedules.
Client liaison: working with suppliers and internal clients to develop specifications and finishes schedules including the creation of presentation visualisations.
Surveying existing space on campus and correcting inaccuracies in our historic AutoCAD drawings and CAFM system, Planon.
Developing own project knowledge and technical skills.
Developing an understanding of King’s College London Health and Safety guidance as well as CDM Regulations and statutory Health and Safety legislation relevant to the role.
Assist with Project Management duties relevant to the role.
Working closely with the Furniture Co-ordinator and KCL Procurement to ensure that all elements of the project are sourced and procured in a compliant and cost-effective manner.
Maintaining an awareness of potential interdependencies with other projects and their impact.
Supporting in the project administration of Workplace Management Projects
The role of Workplace Designer requires proficiency in the use of current AutoCAD, BIM software and 3D modelling programmes.
The role also requires proficiency in the use of current Microsoft packages such as Microsoft Project, PowerBI, Excel etc.

Key responsibilities
Manage Workplace projects on a day-to-day basis.
Surveying existing space on campus and correcting inaccuracies in our historic AutoCAD and CAFM system called Planon.
The preparation and development of space plans, drawings, presentations, and material specifications.
Effective time management of project programmes and timescales.
Problem identification and resolution, and forward planning to ensure the projects run smoothly.
Being responsible for communicating effectively and managing relationships with collaborators across the university and with our appointed external consultants.
Engender an excellent team spirit and commitment to provide high quality, professional and efficient support to all colleagues and external consultants.
Communicate effectively and manage relationships with project delivery partners.
Engage and support Equality, Diversity & Inclusion best practice to assist both team and personal development aligned with EDI Policies and Initiatives.
Any other duties appropriate to the grade, as directed by the Head of Workplace Experience.

Skills, knowledge, and experience
The successful candidate will:
Be a proactive and important member of the Workplace Management team, contributing to the development of this new area within Estates and Facilities, by shaping processes and activities and becoming an expert in their own role and duties.
Build a network of internal and external contacts and stakeholders relevant to the role.
Demonstrate willingness to undertake additional training as and when required.
Demonstrate a positive attitude towards customer care.
Be able to work accurately, efficiently, prioritising workload both individually and as part of a team.
Have excellent interpersonal and organisational skills.
Essential criteria
1. Proficiency in the use of current AutoCAD, BIM software and 3D modelling programmes.
2. An industry-recognised diploma or degree in interior design or architecture.
3. Experience of project or space management in Higher Education or another relevant sector.
4. Minimum of three years post-graduate experience.
5. Impeccable and concise communication and presentation skills, verbal and written. Must be fluent in spoken and written English.
6. Minimum of three years post-graduate industry experience.
7. Excellent IT skills including; Microsoft Word, Excel, Outlook, SharePoint, Forms and databases, Zoom/Teams, and relevant programmes such as PowerBI and Microsoft Project.
Desirable criteria
1. Able to form relationships and networks with key stakeholders to ensure an excellent customer experience.
2. Able to plan own workload, work to tight deadlines and manage multiple projects, reprioritizing or adapting, as necessary.
3. Ability to use initiative and work independently.
4. A communicative, proactive member of teams with evidence of offering input, ideas, and expertise to improve services and solve problems.
5. Experience in procurement would be a plus but is not essential.
6. Passion for FF&E, design, art and aesthetics, with a good knowledge of suppliers, products, specialist finishes and current design trends.
