Our client is a leading Canadian law firm with offices across the country. Their Intake and Conflicts Department plays a crucial role in ensuring the integrity and compliance of the firm’s client onboarding and matter management processes. This national team is known for providing exceptional internal support and client-focused services.
Purpose of the Role
The Intake and Conflicts Coordinator supports the firm in managing potential conflicts of interest, maintaining confidentiality screens, and ensuring compliance with internal and regulatory onboarding procedures. This position ensures that all client and matter intake processes align with firm policies and legal obligations, contributing to operational excellence and risk mitigation.

About the Position

  • Conduct new business conflict searches and analyse results
  • Review intake requests for compliance with firm policies
  • Maintain and update client/matter data (e.g., name changes, reopenings)
  • Support urgent conflicts searches during extended business hours
  • Provide “on-call” support on a rotational basis (approx. one week every two months)
  • Set up and manage confidentiality screens
  • Coordinate onboarding of new professionals and staff (lateral hires)
  • Review and record engagement letters and Know Your Client (KYC) information
  • Perform due diligence checks
  • Complete full new business intake procedures
  • Perform other duties as required

The Requirements

  • Minimum 3 years of experience in a legal environment (preferred)
  • Bilingual in English and French is an asset
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Adobe Acrobat)
  • Experience with legal software such as Intapp Open, CMS Aderant, Progress, and World-Check is an asset
  • Exposure to Intellectual Property law is a plus
  • Strong understanding of legal ethics and lawyer-client relationship regulations
  • Working knowledge of conflicts of interest principles and procedures
  • Comfortable working under pressure in a time-sensitive environment
  • Willingness to work overtime when required

Compensation

  • $55,000 - $65,000 depending on experience.
  • Predominantly remote position, with occasional travel to the office.
  • Strong benefits package.

Objectif du poste
Le/la Coordonnateur(trice) à l’ouverture de dossiers et aux conflits d’intérêts soutient le cabinet dans la gestion des conflits d’intérêts potentiels, la mise en place de pare-feux de confidentialité, et veille au respect des procédures internes et réglementaires lors de l’intégration des clients. Ce poste contribue à l’excellence opérationnelle et à la gestion des risques en assurant que tous les processus d’ouverture de clients et de dossiers respectent les politiques du cabinet et les obligations juridiques.

Responsabilités

  • Effectuer des recherches de conflits pour les nouveaux mandats et analyser les résultats
  • Examiner les demandes d’ouverture de dossiers pour assurer leur conformité avec les politiques du cabinet
  • Maintenir et mettre à jour les données clients/dossiers (ex. : changement de nom, réouvertures)
  • Apporter un soutien pour les recherches de conflits urgentes en dehors des heures normales
  • Assurer une disponibilité « sur appel » à tour de rôle (environ une semaine tous les deux mois)
  • Mettre en place et gérer les pare-feux de confidentialité
  • Coordonner l’intégration des nouveaux professionnels et employés (recrutements latéraux)
  • Examiner et consigner les lettres de mandat et les informations KYC (« Know Your Client »)
  • Effectuer des vérifications diligentes
  • Réaliser l’ensemble des procédures d’ouverture de nouveaux clients/mandats
  • Effectuer d’autres tâches au besoin

Exigences

  • Minimum de 3 ans d’expérience dans un environnement juridique (préféré)
  • Bilinguisme anglais/français est un atout
  • Maîtrise de la suite Microsoft Office (Word, Excel, Outlook, Adobe Acrobat)
  • Expérience avec des logiciels juridiques tels que Intapp Open, CMS Aderant, Progress, World-Check est un atout
  • Connaissances en droit de la propriété intellectuelle sont un plus
  • Bonne compréhension de la déontologie juridique et des règles encadrant la relation avocat-client

Rémunération
