JOB SUMMARY
Our client is seeking a highly organized and detail-oriented Administrative Assistant to join their team. You’ll be responsible for optimizing the workflow for two Vice Presidents and also contributing to operations, marketing, and commercial real estate brokerage support.
REQUIREMENTS
· Bachelor’s degree preferred or other work experience
· Exceptional organizational skills including prioritization, meeting deadlines, and handling last-minute requests
· Positive, flexible, and professional pitch-in attitude
· Prior experience as an administrative assistant or in a related role
· Proficiency in Microsoft Office suite
· Excellent verbal and written communication skills, with meticulous attention to detail
· Organize schedules and support the daily tasks for the two Vice Presidents, ensuring maximum efficiency and timely follow-up as required.
· Support the leasing process for commercial properties including managing leasing paperwork and facilitating communications between brokers, agents and prospects.
· Act as liaison between the Vice Presidents, clients, contractors, architects, and others to support communication and project progression.
· Prepare reports, proposals and spreadsheets, with a high level of professionalism and accuracy.
· Coordinate and actively participate in marketing initiatives, including the management of property listings, targeted mailings, creating marketing brocures/materials, and occasional event planning.
· Maintain a detailed calendar of crucial deadlines such as lease expirations and monthly reporting requirements.
· Provide other misc. support to the company by assisting with various tasks and projects as needed.
