TITRE DU POSTE : ADMINISTRATION ASSISTANT (1) Lieu d’affectation : Kolwezi, RDC Type de contrat : Contrat local à durée déterminée Superviseur hiérarchique : Directeur des opérations et Finances Durée : 03 mois allant jusqu’en décembre 2025 avec possibilité de renouvellement. CONTEXTE : Dans le cadre de la continuité des interventions vitales dans les zones précédemment couvertes par l’USAID, mais qui ne bénéficient actuellement d’aucun appui actif dans le cadre du programme PEPFAR, EpiC DRC a reçu le mandat de mettre en œuvre des services VIH essentiels à destination des adultes à risque, des enfants et des personnes vivant avec le VIH (PVVIH) dans trois zones de santé rurales du Haut-Katanga (Sakania, Panda et Kapolowe), ainsi que dans la province du Lualaba. Cette initiative vise à combler les lacunes critiques en matière d’accès aux services VIH et à garantir la continuité d’activités essentielles dans ces zones à haut risque. Afin d’atténuer l’impact des interruptions actuelles dans l’accès aux soins et traitements pour un nombre important de PVVIH, EpiC DRC prévoit la mise en œuvre d’un ensemble d’interventions prioritaires, comprenant notamment : La réalisation de dépistages du VIH dans les communautés et les établissements de santé ; La distribution de traitements antirétroviraux et le renforcement de l’observance thérapeutique ; Le renforcement des capacités des laboratoires pour la surveillance de la charge virale ; L’amélioration de la qualité des soins essentiels liés au VIH fournis par les partenaires gouvernementaux de santé ; Le suivi et l’évaluation des interventions afin d’en assurer l’efficacité et l’impact. Dans cette optique, EpiC DRC prévoit le recrutement d’un Administration Assistant en vue d’assurer la mise en œuvre rapide de ces interventions critiques, répondre aux besoins urgents des PVVIH, et maintenir l’élan vers l’équité en santé et la résilience des communautés affectées. FONCTIONS ESSENTIELLES : Gérer et exécuter des fonctions administratives complexes et confidentielles pour assurer le bon déroulement des opérations exécutives lui assignées et fournir un soutien administratif et de secrétariat au bureau du projet L’EpiC RDC à Kolwezi. Gérer et fournir un soutien direct au Chef du Projet et coordonner l'assistance au bureau du Chef du projet dans toutes les questions administratives. DEVOIRS ET RESPONSABILITÉS : Gérer toutes les correspondances entrantes et sortantes, des rapports, des courriels, leur archivage, tout en assurant la dissémination des informations au sein de l’organisation. Maintenir / mettre à jour les calendriers de l'équipe de la haute direction (SMT), les rendez-vous et les réunions. Rédiger la correspondance et les rapports demandés. Enregistrer les procès-verbaux des réunions et les diffuser parmi le personnel du bureau de pays. Gérer les dossiers et les dépôts de bureau, le cas échéant. Aider l'équipe des opérations à fournir un soutien logistique pour les ateliers et les formations. Répondre et filtrer les appels téléphoniques ; recevoir et délivrer des messages ; et répondre aux questions de nature non scientifique / non politique. Assurer la liaison avec le personnel de FHI 360 SMT. Fournir et organiser tout le matériel de soutien à l'avance pour les réunions et les déplacements au nom du SMT. Suivre et suivre l'état des actions et demandes en suspens au nom de SMT. Gérer les préparatifs de voyage pour le bureau SMT, superviser les autorisations de voyage et les rapports de dépenses, examiner les rapports de voyage pour le contenu et le format, coordonner les arrangements de voyage. Gérer la rédaction, la révision et la diffusion de tous les procès-verbaux des réunions et assurer la qualité. Travailler en étroite collaboration avec SMT et au besoin avec d'autres groupes FHI 360 pour assurer un flux de travail en temps opportun. Coordonner et gérer les voyages internationaux et superviser les réservations d'hôtel pour le personnel international. Sur instruction et approbation de SMT, postulez et obtenez l'accord de voyage / l'approbation de l'USAID. Assurer la liaison avec le bureau régional et le siège de FHI 360 aux USA sur les questions administratives nécessitant leur participation. Effectuer des tâches supplémentaires comme assignées par la direction CONNAISSANCES, COMPÉTENCES ET CAPACITÉS : Compétences considérables en communication orale et écrite. Capacité à communiquer efficacement et avec tact avec tous les niveaux du personnel, les représentants des donateurs et des organismes collaborateurs, des personnes de cultures diverses et le public. Capacité à négocier avec tact. Initiative et discrétion dans le jugement et la gestion des questions confidentielles, des documents et des questions sensibles. Ingénieux grâce à la technologie, aux compétences en recherche et à l'établissement de relations entre plusieurs équipes et unités organisationnelles et organisations professionnelles pour résoudre les problèmes et amorcer des améliorations. Maîtrise des compétences en secrétariat pour inclure la grammaire, l'orthographe et la relecture. Maîtrise des logiciels Word, PowerPoint et Excel. Capacité à travailler de manière autonome et à organiser, coordonner et traiter efficacement les affectations de travail, tout en accordant une attention aux détails. Avec une supervision minimale, gérer efficacement le flux de travail à volume élevé. Capacité à gérer plusieurs tâches simultanément et à définir des priorités. Capacité à gérer une charge de travail exigeante. Capacité d'anticiper le support technique et administratif requis. Capacité de rechercher et d'obtenir des informations de diverses sources. Possibilité de voyager dans les diverses zones d’activité du projet si nécessaire QUALIFICATIONS ET EXIGENCES : Être détenteur d’un diplôme de licence en administration des affaires ou son équivalent reconnu et 3 ans d'expérience pertinente. Connaissance des compétences administratives et / ou de secrétariat indispensable. Expérience en tant qu'assistant administrative, de préférence dans une grande organisation complexe. La connaissance des programmes financés par l'USAID et des organisations non gouvernementales en RDC serait un plus.
