L’Office Manager & Executive Assistant garantisce il corretto funzionamento operativo e organizzativo della sede italiana, supportando il Country Manager e coordinando i processi di ufficio, i fornitori e le attività interfunzionali. È un punto di riferimento per la Direzione e per i diversi team aziendali, assicurando che le attività quotidiane si svolgano in modo efficiente, conforme alle procedure e in linea con gli standard aziendali. Responsabilità Principali: Supporto alla Direzione (Executive Assistant) La persona selezionata sarà responsabile della gestione dell’agenda e degli appuntamenti della Country Manager, occupandosi anche dell’organizzazione di viaggi, trasferte e riunioni direzionali, comprese plenarie e board review. Dovrà predisporre la documentazione e le presentazioni necessarie, redigere i verbali e garantire il follow-up delle azioni concordate. Inoltre, gestirà il flusso delle firme su documenti e curerà la pubblicazione di contenuti su LinkedIn per conto della Country Manager. Gestione Ufficio e Servizi Generali Il ruolo prevede la supervisione quotidiana della sede di Milano e il coordinamento dei servizi generali e di facility management, assicurando la corretta gestione dei fornitori, della manutenzione, della reception e della sicurezza. La risorsa si occuperà anche della logistica d’ufficio, della gestione di posta, corrieri, forniture e dispositivi ICT, nonché dell’aggiornamento e archiviazione dei contratti di fornitura. Sarà inoltre incaricata di individuare fornitori alternativi, negoziare condizioni vantaggiose e ottimizzare i costi operativi. Supporto HR e Onboarding In collaborazione con il team HR, l’Office Manager gestirà le attività di onboarding e offboarding del personale, coordinando l’attivazione di account IT, la consegna dei materiali informatici e la pianificazione delle welcome call con il Country Manager. Contribuirà all’aggiornamento delle procedure di onboarding e supporterà la gestione della flotta aziendale, garantendo il rispetto delle scadenze contrattuali e un servizio efficiente ai dipendenti. Supporto Commerciale e Amministrativo La figura offrirà un supporto operativo al Country Manager e ai membri del Comitato Direttivo nella relazione con i clienti e partner, curando la pianificazione di incontri e appuntamenti e assicurando il corretto aggiornamento delle attività su Salesforce. Si occuperà inoltre della raccolta e archiviazione digitale della documentazione contrattuale, della gestione delle firme e del monitoraggio dei flussi documentali in coordinamento con il team Sales. Procedure, Qualità e Compliance Sarà responsabile della redazione, revisione e aggiornamento delle procedure operative aziendali, come la travel policy e i flussi di firma, garantendo la coerenza dei processi interni. Coordinerà le attività interfunzionali per il miglioramento continuo dell’efficienza organizzativa e supporterà la preparazione e gestione della verifica annuale ISO 9001, in collaborazione con i consulenti esterni. Eventi, Comunicazione Interna e Supporto Operativo Infine, l’Office Manager curerà l’organizzazione logistica di eventi aziendali, corsi di formazione e attività di team building, contribuendo al rafforzamento del senso di appartenenza e della comunicazione interna. Sarà il punto di contatto con consulenti esterni di natura amministrativa, tecnica o legata alla salute e sicurezza, garantendo un flusso informativo efficace e la corretta gestione delle attività operative quotidiane.
