Role overviewThe HR Administrator is an important member of the HR operations team at William Fry, providing accurate and timely administrative support across the full employee lifecycle. This is a detail-oriented, process-driven role suited to someone who takes pride in the quality of their work, is comfortable managing a varied workload, and is committed to delivering a consistent and professional service to employees and partners across the firm.

Reporting to the HR Operations Team Lead, the HR Administrator works as part of a close-knit HR operations team and acts as a key point of contact for employees on day-to-day HR queries.

  • Key responsibilitiesLaw Society and professional complianceAct as the firm's administrator for the Law Society of Ireland, managing the annual practising certificate renewal process for all qualified lawyers.
  • Co-ordinate PPC application packs for new trainee solicitors, ensuring all documentation is complete, accurate, and submitted within required timeframes.
  • Organise and manage qualification documentation for trainees completing their training contracts.


  • HR system and data managementMaintain and update employee data on PeopleXD (formerly CoreHR) for all new starters, leavers, and existing employees, ensuring records are accurate and kept up to date at all times.
  • Assist with employee queries and system issues as they arise, escalating where appropriate and contributing to ongoing improvements in system accuracy and data quality.
  • Support records management across the HR team, creating employee files for new joiners, adding relevant documentation to existing files, and ensuring all personal data is stored in compliance with GDPR obligations.


  • Onboarding and offboardingSupport the onboarding process for new joiners, ensuring all pre-employment checks are completed, contracts and documentation are issued, and new starters are set up on relevant systems ahead of their start date.
  • Co-ordinate the leavers process, ensuring all documentation is collected, appropriate parties are informed of upcoming departures, and exit interviews are scheduled in a timely manner.
  • Support the probation process by arranging check-in meetings with employees and partners or managers and ensuring the process is conducted within agreed timeframes.


  • Leave and absence administrationCo-ordinate all leave activity across the firm, including annual leave, family leave, and sickness-related absence, ensuring accurate recording on the HR system and compliance with firm policy and employment legislation.


  • Payroll and benefits administrationProcess monthly payroll changes for starters, leavers, employee leaves, and applicable employee-related benefits, ensuring all changes are communicated to payroll accurately and on time
  • Manage the firm's Travel Pass and Cycle to Work schemes, including organising monthly and annual tickets, updating the system, and communicating applicable deductions to payroll.


  • HR mailbox and employee queriesProvide support to the HR mailbox, responding to employee queries in a timely and professional manner and escalating complex queries to the HR Operations Team Lead where appropriate.
  • Complete employment references as requested, ensuring a high level of accuracy and appropriate authorisation at all times.


  • Reporting and administrationPrepare monthly, quarterly, and annual HR data reports including headcount, absence, and leave, and contribute to the development of a reporting dashboard for the business.
  • Provide general administrative support across the HR operations team and assist with HR projects and new initiatives as required.


  • Skills and experienceEssentialThird-level qualification in Human Resources, Business, or a related discipline.
  • Strong attention to detail and a commitment to accuracy in all aspects of work.
  • Excellent organisational skills with the ability to manage a varied workload and competing priorities.
  • Good written and verbal communication skills with a professional and approachable manner.
  • High level of computer proficiency, including Microsoft Word, Excel, and Outlook.
  • Ability to handle confidential and sensitive information with discretion and integrity.
  • A working knowledge of GDPR obligations as they apply to HR data and employee records.
  • Ability to work on own initiative as well as collaboratively as part of a team.


  • DesirablePrevious experience in a HR administration or HR support role.
