Description du poste
Nous recherchons un(e) réceptionniste professionnel(le), organisé(e) et orienté(e) service pour rejoindre notre studio de jeux vidéo à Montréal. Ce poste à temps partiel couvre trois jours par semaine et joue un rôle essentiel dans l’accueil, la coordination interne, la sécurité et le bon fonctionnement des installations.

Responsabilités principales :

  • Accueillir les visiteurs et informer les membres de l’équipe leurs arrivées.
  • Gérer les appels téléphoniques : filtrer, transférer et prendre des messages.
  • Réserver les salles de réunion à la demande des employés.
  • Assurer la propreté de tout le studio et gérer le suivi des demandes de maintenance du studio : signaler les problèmes techniques ou d’entretien, coordonner les interventions avec les fournisseurs ou les équipes internes, et veiller à leur résolution rapide.
  • Assurer la disponibilité et le bon fonctionnement des salles de réunion : vérifier les équipements, organiser les espaces et signaler tout besoin d’entretien.
  • Faire signer les documents requis (NDA, droit à l’image) lors des visites.
  • Maintenir les bases de données à jour (ex : registre des visiteurs, bottin des employés, etc.).
  • Réceptionner, trier et distribuer le courrier et les colis.
  • Gérer les expéditions de courrier et de colis : préparer les envois, coordonner avec les services de messagerie, assurer le suivi et la traçabilité.
  • Assurer l’inventaire et l’achat des fournitures de bureau et des diverses fournitures pour la cuisine, salles de réunions, salle de jeu et toute autre local qui requiert le renouvellement de fourniture.
  • Appliquer les procédures de sécurité et gérer les accès (badges visiteurs, employés temporaires, fournisseurs de service, etc.).
  • Maintenir la zone de réception et de la boutique propre, sécurisée et conforme aux normes internes.
  • Participer activement à la prévention en matière de sécurité : identifier les risques, appliquer les consignes de sécurité, et collaborer avec les équipes internes pour garantir un environnement de travail sûr.
  • Assumer le rôle de chef d’étage en cas d’évacuation : coordonner le processus d’évacuation selon les procédures établies, assurer la sécurité des personnes présentes, et faire le lien avec les responsables internes et les services d’urgence si nécessaire.
  • Apporter une assistance au coordinateur(rice) administratif dans l’organisation d’événements, décoration du studio, et tout autre mandat au besoin.
  • Apporter une assistance au processus des achats : appui dans la collecte des besoins.
  • Participer à l’organisation de voyages professionnels : aide à la réservation de transports et d’hébergements, préparation des documents nécessaires et coordination logistique.
  • En collaboration avec le/la coordonnateur(rice), agir comme point de contact pour les employés.
  • Assister la direction dans tout mandat/projet administratif, au besoin.

Temps partiel (24h/semaine) Jours travaillés : mardi, mercredi et jeudi

Main Responsibilities:

  • Ensure meeting rooms are available and functional: check equipment, organize spaces, and report any maintenance needs.
  • Have visitors sign required documents (NDAs, image rights).
  • Keep databases up to date (e.g., visitor log, employee directory, etc.).
  • Receive, sort, and distribute mail and packages.
  • Manage outgoing mail and packages: prepare shipments, coordinate with courier services, and ensure tracking and traceability.
  • Maintain inventory and purchase office supplies and various items for the kitchen, meeting rooms, game room, and any other area requiring replenishment.
  • Enforce security procedures and manage access (visitor badges, temporary employees, service providers, etc.).
  • Keep the reception and boutique area clean, safe, and compliant with internal standards.
  • Actively contribute to safety prevention: identify risks, follow safety instructions, and collaborate with internal teams to ensure a safe work environment.
  • Serve as floor warden during evacuations: coordinate evacuation procedures, ensure the safety of individuals, and liaise with internal managers and emergency services if needed.
  • Assist the administrative coordinator with event planning, studio decoration, and other tasks as needed.
  • Support the purchasing process: assist in gathering needs.
  • Help organize business trips: assist with booking transportation and accommodations, prepare necessary documents, and coordinate logistics.
  • Collaborate with the coordinator to act as a point of contact for employees.
  • Assist management with any administrative tasks or projects as needed.

Part-Time (24h/week) Working Days: Tuesday, Wednesday, and Thursday

Qualifications
